POSITION DESCRIPTION
HGL is seeking a Desktop Publishing Manager /
Word Processing Supervisor
in our
Reston, VA
office, although there is the potential for hybrid work for the right candidate. The Supervisor plans, assigns, and reviews word processing work to ensure timely completion of deliverables. We are looking for a candidate with a
strong knowledge of Microsoft Office 365 applications (Word, Excel, PowerPoint, Outlook, and SharePoint) as well as Adobe Acrobat.
The candidate will be
responsible for managing the proposal and overhead word processing group on large ID/IQ proposals and task orders, which include large documents containing graphics and tables. The candidate should possess an eye for design and page layout as well as have experience proofreading documents for consistency, spelling, grammar, and punctuation.
Responsibilities/Duties
WHAT YOU'LL BE DOING
The person hired for this role will be responsible for:
Managing a team of senior word processors.
Setting internal staff schedules to meet document deadlines.
Proofreading draft and final products for consistency and style.
Formatting large proposals
using Microsoft Word styles.
Generating tables of contents and lists of tables, figures, and appendices.
Creating and editing report headers and footers.
Importing figures, photographs, and spreadsheets.
Inserting footnotes, endnotes, and references.
Formatting large Microsoft Excel spreadsheets for proper viewing/printing.
Converting Microsoft Word, Excel, and other files into PDF documents and compiling into final deliverable.
Adding headers, footers, and page numbers to PDF files.
Bookmarking and linking PDF files.
Required Skills
WHAT YOU NEED TO BE SUCCESSFUL
The ideal candidate will need the following as a foundation for success in the role:
High school diploma.
Senior level in Microsoft Office 365 Applications (Word, Excel, Outlook, and SharePoint).
Senior level in Adobe Acrobat.
Maintain a reasonably high degree of speed and accuracy with typing and formatting.
Ability to prioritize multiple tasks and adhere to deadlines.
Follow directions carefully.
Work as an individual contributor in a teams-based environment.
Work with teams across multiple time zones.
Maintain confidentiality and discretion.
Preferred Skills
WHAT YOU NEED TO STAND OUT – Preferred, not required
About 10+ years’ experience managing proposal deliverables with tight deadlines.
Bachelor’s degree.
Word Processing Certification.
Adobe InDesign.
Experience with 508 Compliance.
