SummaryThe Knowledge Management ("KM") Operations Specialist will play a critical role in the execution and day-to-day administration of the KM Department's strategy and operations in order to drive efficiency and improve client service.

The KM Operations Specialist will work closely with KM Managers, KM Directors, and the KM Lawyers to develop roadmaps, best practices, and policies and procedures for the KM Department and for the various systems supported by KM, including enterprise-wide technology platforms.

The role spans many tactical activities across Sidley, working with other firm functions including IT, Learning & Development, Library and Research Services, Marketing, HR, and the legal practices to plan and complete assigned projects, with a focus on clear and concise communication and comprehensive documentation.

Duties and Responsibilities

Develop and maintain governance documentation to support KM processes, including KM technology support and maintenance, KM onboarding procedures, and other day-to-day administration and operations of the KM Department.

Identify opportunities to document, enhance, or expand upon policies, procedures, and best practices for the department and legal technologies the department supports.

Participate on project teams to document, test, communicate and implement enhancements to various systems including enterprise-wide technologies such as enterprise search and generative AI, and KM technologies.

Support firm-wide technology initiatives by documenting use cases, testing products, and collecting and consolidating feedback from pilot participants and users.

Assist with maintaining and updating KM technology resources including firm-wide intranet pages, quick reference guides, and training videos.

Own and maintain a comprehensive repository of standardized language about KM Technologies and personnel, ensuring it is up-to-date and easily accessible for use in Requests for Proposals (RFPs), pitches, and other marketing materials.

Assist with the preparation of materials for KM department meetings, quarterly and annual reporting, KM presentations, and for the semi-annual KM strategic planning sessions with each practice group's KM Partners and KM Lawyers.

Education and/or Experience:

Required:

Bachelor's degree from a four-year college or university.

Minimum of five years of relevant operations and/or project management experience, preferably in a law firm or legal department.

Demonstrated ability to manage multiple assignments with competing deadlines and priorities under minimal direct supervision.

Proven ability to take initiative, create a positive team environment, and build collaborative relationships.

Exceptional organizational skills and ability to pay close attention to detail, occasionally for prolonged periods of time and under restrictive deadlines.

Excellent written and verbal communication skills.

Proficiency in MS Excel, MS Word and PowerPoint.

Preferred:

Experience managing projects and processes from inception through planning, execution and completion.

Demonstrated understanding of law firm structure and business practices, as well as practice-specific terminology.

Familiarity with major technology tools commonly used by large law firms such as document management systems (e.g., NetDocuments), research tools (e.g., Lexis and/or Thomson Reuters products), and SharePoint.

Knowledge of project management tools (e.g., Asana) and methodologies, as well as change management strategies.
