Job Description / Essential Elements:
Act as a receptionist; initiate and answer telephone calls, make appointments and interview callers and either furnish the desired information, refer callers to proper authorities, or arrange appointments; take and transcribe dictation of correspondence, reports, bulletins, memoranda, guides, manuals including material of a confidential nature; open and screen incoming mail for supervisor; compose correspondence on a wide range of subjects requiring a thorough knowledge of the procedures and policies of the department and District; type letters, reports, instructional materials, announcements, and other materials from clear copy or rough draft; gather and summarize data for reports and other purposes; update, type, and distribute a variety of lists, rosters, and forms; may attend meetings and conferences, transcribing and editing minutes; prepare agenda, and make adjustments as necessary in scheduled meeting times and subject materials; proofread documents and reports; maintain a variety of diverse and complex office files and records; coordinate the work of the office with other District offices and/or appropriate outside agencies; may supervise the work of clerical assistants; maintain budget accounts; setup and maintain calendars of events, activities and schedules; may coordinate and schedule a variety of activities and events; may process purchase and work requisitions, and order supplies; prepare time sheets, and record absences of personnel; operate a variety of modern office equipment including duplicating and copy equipment, calculators and adding machines; may be required to operate or learn to operate word processing equipment and computer terminals; may type, assemble, and distribute policy and informational notebooks, manuals, and guides for teachers and other staff; coordinate general office workflow including arranging coverage for switchboards and other clerical desks and personally relieve other desks in an emergency.
Requirements / Qualifications
The Baldwin Park Unified School District is recruiting for Secretary III. This position is located at Early Childhood Education, Baldwin Park Department. Under general supervision, the employee will perform difficult and responsible clerical and secretarial work and act as secretary and general office assistant to an administrator. The employee will also assist in clerical and routine administrative details, including schedule appointments, providing information to callers, taking notes, and assisting administrators with clerical and secretarial work as well as minor administrative and business details.

The selection process tentatively consists of the District application review, proficiency exam, and interviews. The Human Resources Department will contact all applicants once the selection process has been finalized.
MINIMUM REQUIREMENTS
Education:* Graduation from high school or GED is required.
Experience:* Three (3) years of office and general public contact, or secretarial level experience is required.* Experience in a public school setting or directly with students is desirable.
Preferred:Bilingual (Spanish)
REQUIRED LICENSES AND/OR CERTIFICATESA valid California Driver's License and the availability of private transportation or the ability to provide reliable transportation between job sites is required.
