Administrative Assistant IV - Faculty Support

GENERAL PURPOSE:
With minimum direction and with considerable latitude for independent judgement, this position provides comprehensive administrative and managerial support to the Faculty Support Office at the Warner School of Graduate Education. This role requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a dynamic academic environment. Responsibilities include managing office workflow, coordinating projects, and implementing processes that enhance efficiency and support the academic mission of the Warner school. The individual in the position must be a proactive problem-solver who can prioritize tasks, support faculty needs, and contribute to a positive and organized office atmosphere.
RESPONSIBILITIES:
Administrative Support
Manage the daily operations of the Faculty Support Office, servicing all academic programs within the Warner School of Education. This office serves over 40 faculty and numerous adjunct faculty.
Provide high-level administrative support for document preparation, meeting planning, travel planning, communications via print, email or other methods, maintenance of records, and report preparation.
Utilizing the appropriate procurement method per university policy (Pcard, Purchasing requisition, SOLO account, request for payment, etc.) manage the equipment and supply needs for all academic programs.
Financial Support
In conjunction with the Program Chairs and the Finance and Grants Offices, oversee the departmental budgets and faculty professional development accounts, including travel awards. Maintain tracking mechanisms to monitor and reconcile expenditures and balances and report this information to the Finance Office, as requested.
Apply University Finance Policies to analyze, obtain, and ensure all proper documentation has been received to validate transactions and prepare internal University financial administration system (Workday) including, but not limited to, supplier invoice requests, travel and conference reimbursements related to faculty professional development, specific projects, and educational programs.
Office Management
Manage routine and provisional support needs for all faculty; prioritize, delegate, and undertake tasks for successful and timely completion.
Supervises student employees including management of workload and schedules. Works with the Student Employment Office to post hire, evaluate and terminate student appointments.
Provide support for office technology and software, including troubleshooting and coordinating with IT services as necessary.
Event Coordination
Assist in planning and executing academic program meetings, retreats, workshops, and other events. Manage logistics, including venue selection, catering, and materials preparation.
Additional Department Support
Provide administrative support to various departments as required (Dean¿s Office, Finance). This includes coordination and support for student events and symposiums, maintenance of related shared spaces, and participation in special projects as needed.
Other duties as assigned
QUALIFICATIONS:
Associate¿s degree required
Minimum of 2 years of administrative support experience, preferably in an academic or higher education setting, or equivalent combination of education and experience required
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. Strong organizational, communication, and interpersonal skills required.

Pay Range
Pay Range: $21.36 - $29.90 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
