We have an outstanding Contract to Hire position for anAdministrative Assistantto join a leading Company located in theCincinnati, OHsurrounding area.
Responsibilities :
Create a welcoming environment, and maintain company standards
Maintain professional, reliable, working relationships with internal teams
Greet and sign in visitors, issue visitor badges
Escort vendors as needed
Schedule appointments/conferences for departmental staff
Answer telephones, route calls, take messages, and answer routine department inquiries effectively
Order and distribute general office supplies and stamps, and maintain inventory
Handle and distribute mail, send and create UPS packages
Enter and maintain data in electronic files, databases, and/or spreadsheets
Update shared internal calendar, update phone/email list, take ownership of internal office communications, and maintain internal organization charts
Handle BOA monthly reconciliation, handle POs, and approve UPS invoices and internal building rent invoices
Initiate and assist with scheduling, research, and planning program events and/or activities
Coordinate all staff meetings, prepare slide presentations, and order food/drinks as needed
Handle new hire ordering of equipment and desk set up, prepare new hire packets
Work with the IT department for new hire setup and troubleshooting issues
Order logo items for new hires, and team members as needed
Able to work with MS Office Suite (Word, Excel, PowerPoint, MS TEAMS, Outlook)
Handle internal building issues and work with the building company to resolve and maintain fire extinguisher checks, and update fire safety and evacuation plans
Maintain internal office equipment, copier, and HVAC unit
Ability to work onsite daily – regular business hours
Other duties as deemed necessary
Basic Hiring Criteria :
High school diploma or equivalent and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary
Desired Qualifications :
Proficiency in Microsoft Office Suite is required (Outlook, Word, Excel, PowerPoint, MS TEAMS)
Proficiency in database management
This position requires high attention to detail
Ability to communicate with a diverse group of individuals in a professional and courteous manner
Excellent written and oral communication skills are necessary
