Job Description:
Independence Home Loans is seeking a highly organized and detail-oriented Executive Loan Officer Assistant to provide critical support to our team of Loan Officers. This role is essential in ensuring the smooth operation of loan origination and processing, enhancing the efficiency and productivity of our top-producing loan officers. The ideal candidate will be proactive, customer-focused, and possess excellent communication and multitasking skills.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to Executive Loan Officers, managing calendars, scheduling meetings, and handling correspondence.
- Client Communication: Serve as the point of contact for clients, answering inquiries, providing updates, and ensuring a seamless client experience throughout the loan process.
- Loan Application Assistance: Assist in gathering and organizing loan documents from clients, ensuring accurate and timely submission of required paperwork.
- File Management: Prepare and maintain loan files, ensuring that all documents are complete, accurate, and compliant with regulatory guidelines.
- **Pipeline Management: Track loan progress through each stage of the loan process, ensuring deadlines are met, and keeping Executive Loan Officers informed of any issues or delays.
- Coordination: Liaise with underwriters, processors, and other internal departments to ensure the smooth progression of loan applications.
- Compliance: Ensure that all loan documents and applications comply with regulatory standards and internal policies.
- Follow-up: Maintain consistent communication with clients, realtors, and other parties involved in the transaction, ensuring all required documentation is obtained promptly.
Qualifications:
- Proven experience as an assistant, loan processor, or in a similar administrative role within the mortgage or real estate industry.
- Strong understanding of mortgage loan processes and documentation requirements.
- Excellent verbal and written communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to prioritize tasks, multitask, and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite and loan origination systems.
- Knowledge of compliance regulations and mortgage-related software is a plus.
- A customer service-oriented mindset with the ability to maintain positive relationships with clients.
Education & Experience:
- High school diploma or equivalent required; college degree preferred.
- 2+ years of experience in the mortgage or real estate industry is highly desirable.
