Commercial Assistant Property Manager
MUST HAVE COMMERCIAL REAL ESTATE EXPERIENCELocation: Austin, TX 78756Pay: Up to $70,000
As a Commercial Assistant Property Manager, you will apply your commercial property management admin experience to support the office property management team by interacting with tenants, assisting with budgets and financial reports, reconciling A/R accounts and coding invoices, tracking certificates of insurance.

Responsibilities:• Respond to tenant needs, ensuring that problems are resolved promptly which may include dispatching the facilities team and/or third party vendors to handle building related issues, as appropriate.• Oversee coordinating vendor services and supervise as needed.• Assist the Property Manager with vendor meetings/outreach, RFPs, bid analysis and contract execution.• Perform regular onsite inspections of the portfolio and recommending maintenance and improvements as necessary.• Assisting Tenant Service coordinator in drafting and sending all tenant and building related correspondence-emails.• Assisting Tenant Services Coordinator with fire/life safety procedures for all properties, reviewing, edit & update tenant portal websites, create newsletters, etc.• Assisting Tenant Services Coordinator with office and retail tenant move ins and move outs.• Manage AR including tenant outreach regarding collection of rents.• Handle all AP for the property by processing invoices which includes data entry and GL coding. Review with Property Manager for approval and work with vendors to clear up any billing issues.• Participate in weekly property management meetings.• Organize quarterly tenant events and tenant satisfaction activities.• Abstract leases into property management software.• Assist in preparing monthly reporting, annual reforecast and property budgets.• Assist in the upkeep of all property management software (Yardi / Angus Anywhere, and/or other building management software), which includes maintaining company electronic records organized including, contracts, invoices, vendor COIs and W9s, and other documents relating to property operations.• Ad-Hoc tasks / projects as assigned.
Position Requirements:• Bachelors degree in business or real estate is preferred• Minimum of 2 years in Commercial Property Management is required• Experience with Yardi, Microsoft Office is required• Working knowledge of accounts payables, receivables, budgets and expenditure controls• Experience in managing office and retail portfolios• Competency at preparing professional, comprehensive memorandums, reports, documents, etc.• Proficient in communicating at all levels in both oral and written form.
