Description
Robert Half's construction client is seeking an Accounts Payable (AP) Specialist with hands-on experience using ProContractor or Viewpoint software to join their finance team. This role involves managing the day-to-day accounts payable functions, including processing invoices, maintaining vendor relationships, and ensuring timely and accurate payments. The ideal candidate will have a strong understanding of AP processes and experience working with ProContractor or Viewpoint software to enhance efficiency and accuracy in financial operations.
Key Responsibilities:
+ Invoice Processing: Review, code, and enter invoices into the AP system (ProContractor or Viewpoint), ensuring all invoices are accurate, properly authorized, and compliant with company policies.
+ Payment Processing: Prepare and process payments to vendors, including check runs, ACH payments, and credit card payments. Ensure payments are made timely and accurately, while maintaining appropriate documentation.
+ Vendor Management: Communicate with vendors to resolve payment discrepancies, address inquiries, and ensure positive working relationships. Update and maintain vendor records in the system.
+ Account Reconciliations: Perform regular AP reconciliations to ensure that all transactions are accurately recorded and any discrepancies are identified and resolved in a timely manner.
+ Reporting & Compliance: Assist in preparing AP reports, such as aging reports, payment histories, and accruals. Ensure compliance with company policies, tax regulations, and other financial guidelines.
+ Data Entry & Record Keeping: Maintain organized and accurate AP records, both digital and paper, ensuring easy retrieval for audits or inquiries. Ensure that all data entered into ProContractor or Viewpoint is accurate and up-to-date.
+ Process Improvement: Suggest and implement improvements to streamline AP processes, reduce errors, and increase efficiency, leveraging your experience with ProContractor or Viewpoint software.
+ Cross-Department Collaboration: Work closely with other departments, including project managers and procurement teams, to ensure accurate coding and proper handling of invoices related to specific projects or business units.
Requirements
Qualifications:
+ Experience: Minimum of 3 years of experience in an accounts payable role, with direct experience using ProContractor or Viewpoint software for AP processing. Experience in the construction or project-based industries is a plus.
+ Technical Skills: Proficient in ProContractor or Viewpoint software. Strong knowledge of accounting software and MS Office Suite (Excel, Word). Experience with other ERP systems is a plus.
+ Attention to Detail: Strong attention to detail with the ability to identify discrepancies, errors, and ensure accuracy in data entry and payment processing.
+ Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with vendors, colleagues, and management.
+ Organizational Skills: Excellent organizational and time-management skills. Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
+ Education: Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred, though not required.
