Administrative Assistant I
The Champaign-Urbana Public Health District (CUPHD) is seeking a full-time (40-hour week) Administrative Assistant I to support grant programs housed in the Division of Wellness and Health Promotion. Under the direct supervision of the WHP Program Coordinator, the Administrative Assistant provides administrative and programmatic grant support to achieve grant program goals and objectives. This position performs general office duties, including supply ordering, meeting agendas/minutes, general correspondence as well as utilizes a variety of computer software programs.
Responsibilities include:• Serves as a liaison for outreach programs, assisting with project goals and objectives as directed by the supervisor, including maintaining resource station and bulletin board• Assists WHP staff with program needs to meet the goals and objectives of assigned grant programs.• Supports data entry of surveys, forms in software, i.e., Survey Monkey, Canva• Distributes surveys and collects/organizes STARS data• Completes Smoke-Free Illinois compliance checks• Inventories, distributes, maintains and orders supplies/educational materials for all Division team staff members, including the coordination of delivery/pick up of items.• Handles Division postage, mailings, correspondence, packages, etc for program staff• Performs other duties as required and assigned by the WHP Program Coordinator to meet program goals.
Requirements include:• A high school diploma, or GED equivalent and at least one (1) year office experience is required• A valid driver's license, dependable transportation, and proof of auto insurance.• Must have computer skills needed to complete data entry and generate data reports in a variety of formats to support data analysis and program report functions.• Must have excellent phone etiquette, customer service, and organizational skills.• Must be able to communicate effectively both written and orally• Must be able to work individually and as a team member• Must be able to set work priorities and organize effectively to meet deadlines• Experience with Survey Monkey and graphic design software (ex: Canva, Adobe, etc.) is preferred.• This is an in-person position.
