Position Summary: Are you looking for an exciting opportunity to contribute to cutting-edge research and technology development? The University of Dayton Research Institute (UDRI) is seeking a highly motivated Associate Programs Coordinator to join our Sustainment Tech Transiti division at Tinker Air Force Base, Oklahoma.
In this dynamic role, you will play a crucial part in supporting the division's efforts to develop and transition advanced technologies for sustainment applications. You'll have the opportunity to work alongside a team of talented researchers, engineers, and subject matter experts, contributing to projects that have a direct impact on the future of sustainment solutions.
The Air Force Nondestructive Inspection Office (AFNDIO) at Tinker AFB, Oklahoma is seeking a highly organized and detail-oriented U.S. citizen for a professional administrative support role. Teleworking options are not available for this position.
Key Responsibilities: • Manage general business operations and handle records management. • Oversee MICT, IT asset and equipment management, purchase requests, and workstation software inventory. • Prepare and process expense reports and review assessment reports and other documents. • Provide event planning for Executive and Working Group meetings. • Provide administrative support to leadership, including email correspondence, memo generation and distribution, and handling of spreadsheets, forms, and faxes. • Maintain supply inventories: check stock levels, anticipating needs, placing orders, and verifying receipts. • Provide front-desk coverage, manage a multiline phone system, greet visitors, and manage incoming/outgoing mail and shipments. • Maintain an organized and clean office environment.
Ideal Candidate: • Capable of implementing corrective action plans for noncompliance issues, ensuring compliance standards are met, tracking issues, and communicating progress to stakeholders. • Excellent written and verbal communication skills, able to manage multiple tasks in a fast-paced environment. • Experience interacting with civilian and government personnel, contractors, and interpreting and applying guidelines and requirements. • Prior military service or DoD civilian experience, particularly with the U.S. Air Force.
Minimum Qualifications: P1 - Associate Programs Coordinator: • Associate's degree or a minimum of four years of diverse, progressive administrative experience and training. • Proficiency in managing multiple tasks in a fast-paced environment. • Experience and knowledge with editing and proofing documents, electronic record keeping, establishing business practices, managing organizational calendars, coordinating major events such as technical interchange meetings, working groups, conferences, or multiday meetings, and managing office operations. • Excellent written and verbal communication skills. • Ability to interact effectively with civilian and government personnel, and contractors. • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat. • Willing to travel three weeks annually. • Must have a valid driver's license with low risk driving record. • Due to requirements of our research contracts with the U.S. federal government, candidates for this position must be a U.S. Citizen. • Be able to obtain a U.S. Government security clearance.
P2 - Programs Coordinator All P1 minimum qualifications as well as: • Bachelor's degree plus a minimum of three years' experience, or eight years of relevant experience. • Experience monitoring or tracking project requirements to conclusion. • Proficient in generating and analyzing reports to track progress and highlight trends. • Ability to interpret and apply requirements and guidelines.
Preferred Qualifications: While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following: • Prior military service or previous experience as a DoD civilian, especially with the U.S. Air Force. • Proficiency in records management, MICT, and IT asset management. • Strong organizational skills and attention to detail. • Experience overseeing corrective action plans and ensuring compliance with standards. • Strong analytical skills to identify discrepancies and evaluate corrective measures. • Self-starter with ability to operate with minimal supervision. • Ability to manage multiple tasks and priorities efficiently. • Proficiency in managing a busy multiline phone system and front-desk duties. • Experience with Air Force systems and maintaining records for formal meetings, including decision points and action items. • Experience coordinating special events and interacting with VIPs. • Exceptional communication skills, both written and verbal, to effectively communicate with key stakeholders. • Experience or familiarity with Nondestructive Inspection (NDI), Nondestructive Testing (NDT), and/or Nondestructive Evaluation. • Microsoft Office Specialist (MOP) Certification, Administrative Assistant Certification (CAA), or equivalent. • Ability to provide examples of analytical/technical writing skills (examples should be no longer than 3-4 pages and be written by the candidate).
