A.T. Still University (ATSU) is seeking a Administrative Support for Admissions on the Kirksville, Missouri, campus. The position reports to the Director-Admissions, Processing and is responsible for providing support to Admissions with clerical duties such as answering the telephone, scanning materials into ImageNow/AMP, filing, shredding, opening mail, working with CampusNexus, collating packets, and other processing tasks as needed.
Major Job Duties
Pick up mail twice each day, open, scan, and distribute to appropriate staff.Link documents scanned to current applications or add to Hold Drawer.Answer incoming calls to general admissions number.Coordinate with other staff to greet guests/staff entering the Admissions Office.Check electronic hold drawer for materials for new applications and link to project in ImageNow/AMP.Send card to DO references for KCOM accepted students.Assign interviewers in AMP for designated programs.Prepare and assign applicants to appropriate Admissions Committee(s) meeting in AMP.Collate packets of information as needed.Provide phone coverage as needed when application coordinators are on vacation/out of the office.Assist with inventory of office supplies.Job Responsibilities
Pick up mail twice daily, open, scan and distribute to appropriate staff.Shred weekly.Link scanned documents to current applications or add to electronic hold drawer.Keep basic office supplies from Purchasing in stock.Provide phone coverage as needed when application coordinators are on vacation/out of the office.Call in copier problems and report monthly counts to IKON.Coordinate with other staff to greet guests/staff entering the Admissions Office.Help with collating packets as needed.Prepare weekly minutes of Admissions Committee meetings.Check electronic hold drawer monthly to determine if documents need linked to new applications.Answer incoming phone calls to Admissions X2237 and monitor voicemail received.Assign applicants to interviewers in AMP for appropriate programs.Ensure interview evaluations are submitted and remind interviewers if needed.Assign Applicants to Admissions Committee meetings as necessary.Close out "Interview Invites" as appropriate (KCOM 21 days, SOMA 30 days).Letter matching in AMP.Send card to DO references for KCOM accepted students.Provide materials for interviewers to send congratulatory cards to newly accepted students.Provide assistance to the Director - Admissions Processing verifying reports/information in CampusNexus.Obtain availability for KCOM Admissions Committee members and prepare schedule of members for each meeting.Enter decision updates for WebAdmit into AMP through API for KCOM and SOMA.Update statues of MOSDOH and CCPA Home Town list.Update contact information updates from application services into CampusNexus.Send new accept information for KCOM to staff to contact and then send offer through AMP.Provide list of white coat sizes for KCOM and MOSDOH for ordering.Keep Student Life updated on cancels for those incoming students assigned to student housing.Enter payments by check into AMP for accepted students and update/manually enter fees as needed.Monitor AMP for those that have paid application fees but not submitted as well as paid acceptance fees but didn't sign admission agreements.Mark SOMA CHC's as completed in prematriculant checklist in AMP, scan form in ImageNow and link.Prep KCOM for prescreening as requested by Director - Admissions Processing.Process Admissions Counselor expense reports and credit card statements at end of the month.Update spreadsheet and budget folder as we get expenses and check variance reports monthly.Assist with new student orientation as needed.Other tasks as assigned.Qualifications
