PRIMARY DUTIES:
Assists the VP of Operations in processing all of admissions and discharges to various programs.Prepare Reports based on statistical and narrative information.Organizes materials in preparation for meetings and conferences.Maintains oversight of all office files within the framework of the agencies policies and procedures.Provide supervision to office staff and appropriate volunteers.Supports Clinicians/Coordinators through the organization of project information.Establishes systems for office management.Ensures office environment is neat and orderly and conveys a professional atmosphere.Manages multiple tasks and brings these to successful conclusion.Shifts priorities as neededMaintains information and documents in a confidential manner.Oversees and maintains computers and information systems.Establishing databasesActs as a resource to other agency personnel in the area of office management.Anticipates and manages problems in daily operation of the office.Prioritizes daily correspondence.Responsible for secretarial duties including typing of conference letters, home visits, psychiatrist weekly schedule, med reviews, clinical minutes, psychotropic medication report, Mailing court letters, DU evaluations, CTP's, ITP's, discharge summaries and customer satisfaction surveys. Filing correspondence, duplication of forms and other office duties as requested and/or assigned.Responsible for delivery of interoffice mail to campus mailboxes and outgoing mail to the business office when the agency driver is not available.Responsible for receiving incoming telephone calls to the agency and channeling same or messages from same as indicated.Greeting all visitors in a cordial manner.Proficiency in use of Microsoft Office.Conscientious of details and instills this in others.Pre-employment reference checks for perspective employeesTranscribing dictation for agency PsychiatristMaintain database in AWARDSREQUIRED EDUCATION, KNOWLEDGE AND SKILLS:
High School diploma. Preference of further education in administrative assistant duties.Intermediate skills in Microsoft office including WORD & EXCELABILITIES AND WORKING CONDITIONS:
Must be available to work a 40-hour work weekMust have a valid NYS driver licenseWillingness to respond to the needs of a culturally diverse populationAbility to be seated and use computer equipment for several hours per day
