JOB DESCRIPTION

JOB SUMMARY:

The Special Events Coordinator plans, implements, organizes, and/or coordinates event applications as assigned and/or directed. This role also consults and communicates with community members, organizations, and businesses to ensure safe and properly permitted events that affect City operations across multiple departments.

TYPICAL DUTIES:Coordinates administrative functions for the Special Event Department including intake of Special Event and Filming applications; responsible for the review and evaluation of Special Event Applications and issuance of Special Event Permits with required documentation.Coordinates and communicates the technical needs of events including administering contracts, permits, and policies, purchasing materials, coordinating security, parking, transportation, waste and recycling and community engagement/communication plans, scheduling City Facilities for events, and soliciting vendors and sponsors; responsible for invoicing, payment collection and payment tracking for all special events.Assists with coordination, operation, and implementation of large-scale events including but not limited to the Kimball Arts Festival, 4th of July Celebration, Miner's Day, Sundance Film Festival, World Cup, Extreme Soccer, etc.Responsible for event execution including placement and removal of barricades, signs, or other equipment in city rights of ways or other locations, coordination with City Departments and other agencies and community members.Works with other public agencies and non-governmental stakeholders, the general public, and citizen groups to coordinate events; ensures the public has information for conducting events within City guidelines and statutes; works cooperatively and jointly to provide quality seamless internal and external customer service.Assists in the development and recommendation of regulations, policies and procedures that serve as the governing rules for conducting events, and other various policies including procedures manuals, application forms, requests of proposals or qualifications (RFP/RFQs), contracts and information for distribution to current and prospective applicants.Assists the Special Events Manager in presenting recommendations as applicable to other departments, multijurisdictional partners, community meetings, Management Team, City Manager, and Council including project plans, event approvals and changes to Municipal Code.Complies data from Special Events applicants for statistical data and projection of event trends.Responsible for short-term rental agreements of certain City facilities, such as Miner's Hospital. Manages long term leases with tenants in PCMC facilities such as the Recreation Building, Miners Hospital, and Senior Center, etc.Responsible for review and implementation of Film Permits including planning, mitigation of impacts and regulatory processes in coordination with applicants and jurisdictional partners.All other duties as assigned.MINIMUM QUALIFICATIONS:

2 years demonstrated event project management experience.Valid state driver's license.PREFERRED QUALIFICATIONS:

Public sector experience.Public / Civic events and event production experience.Experience in local government including but not limited to licensing, and land use.Project Management experience.Experience in resort/destination locations.WORKING CONDITIONS:

The employee must occasionally lift and/or move up to 50 pounds, especially when assisting with special event operations.Work is performed in an office setting and in outdoor settings in all weather conditions including extreme temperatures.Occasional exposure to stressful situations while working with community members, event partners, and vendors.May require small amounts of travel to and from meetings, trainings, and conferences.Non-traditional working hours which may include evening and weekend meetings and events.
