Job Description for 1822 in CON Executive Office
Assist with the implementation of new legislation, including but not limited to the Citywide Project Labor Agreement and the Residential Construction Wage Theft Prevention Ordinance (RCWTPO).
Greet, assist, and assist visitors in the executive office. Visitors can be CON employees, City Employees, City Suppliers/Payees (e.g. picking up Supplier Payment or Refunds checks) or members of the Public.
Answer the main phone line for Controller’s Office including assisting members of the Public, City Suppliers/Payees and City Employees in locating various City Offices, e.g. CON Payroll, the CON Whistleblower Office, CON Disbursements, and other City departments.
Be a key contributor and engaged team member for the public phone line improvement project which will require taking notes on which types of calls CON receives, proposing draft response scripts, and reporting findings and recommendations to the executive office team members.
Ensure sensitive Whistleblower complaints and materials are received, stored, and transmitted securely to CON's Whistleblower Office.
Assist with the Controller’s Office Records Retention program including reviewing departmental submissions for their financial records schedules, updating the website and modernizing the process to adopt a new policy.
Serve as a Clerk for several public meetings and hearings, including but not limited to the Refuse Rates Hearings as well as administrative appeal hearings.
Assist with Chapter 28 Debarment hearings, as well as preparing the semi-annual reporting that is given to the Board of Supervisors and updating the website.
Serve as the lead on the Controller's Office 311 requests, as well as attend the Citywide 311 Quarterly meeting on behalf of the Controller's Office.
Help coordinate, set up, and welcome attendees for CON-related meetings held by the Executive Suite.
The lead on the procurement of office supplies for the Executive Suite including creating requisitions as well as receipt recording and expense reports.
Supporting with logistics and other aspects social events and special events administered by the Executive Office, including trainings, delegation visits, tours, and others as opportunities present themselves.
Manage CON's US mail which includes sorting and distributing to each division including, the distribute/deliver packages as needed.
Serve as the administrator for public information requests made by members of the public and press. The Controller’s Office uses Next Request to log and respond to requests. Manage and triage Controller@sfgov.org.
Assist with All-Staff Meetings, Merit Awards, Lunch & Learns, and ad hoc seasonal events as sponsored by the Executive Office including planning, logistics, managing registration, and issuing follow-up surveys and maintaining a calendar for internal events.
Helping create and administer tools and processes to elicit staff feedback, as well as reporting back to staff on actions taken, on the planned quarterly Climate Survey.
Assisting with the administration of internal and external committees.
Edit and update content on the department’s public website and internal SharePoint as needed. Recommend structural updates and participate in routine maintenance.
Maintain knowledge of department's public website (SF.GOV) to assist with public queries and information requests.
Update contact lists and create directories as needed.
Update desk procedures for the Executive Office, including the FAQ when new relevant information is added.
Coordinate with building maintenance for specific needs reported to the Executive Suite. Create & manage help desk tickets as requested.
Assist with general administration of Emma subscriber and distribution lists, updating quarterly and serve as backup for division to distribute emails via Emma as needed..
Reports to the Manager of Special Projects and Key Initiatives in the Controller’s Office Executive Suite.
Assist Controller & Deputy Controller as needed & the ability to take direction from multiple people on the Executive team.

These minimum qualifications establish the education, training, experience, special skills and/or license(s) which are required for employment in the classification. Additional qualifications (i.e. special conditions) may apply to a particular position and will be stated in the job ad.
Education:
Possession of a baccalaureate degree from an accredited college or university, and one (1) year full-time equivalent experience performing professional-level analytical work. Qualifying professional-level analytical work includes analysis, development, administration, and reporting in major programs and functions of an organization in areas such as budgets, contracts, grants, policy, or other functional areas related to the duties of positions in the 182X Class series.
Substitution:
Possession of a graduate degree (Master's degree or higher) from an accredited college or university with major coursework in specialized subject matter areas such as public or business administration, management, business law, contract law, public policy, urban studies, economics, statistical analysis, finance, accounting or other fields of study closely related to the essential functions of positions in the Class series may be substituted for the required one (1) year of experience.
Additional experience as described above may be substituted for the required degree on a year-for-year basis (up to a maximum of 2 years). Thirty (30) semester units or forty-five (45) quarter units equal one year.
