Research Administrator I

to provide comprehensive administrative support for the Geriatric Research, Education, and Clinical Center (GRECC) at the Veterans Affairs Puget Sound Health Care System (VAPSHCS). As a Research Administrator I, you'll work closely with principal investigators (PIs), administrators, and other stakeholders to support vital research efforts in a team-oriented environment.Research Program AdministrationAssist PIs with Institutional Review Board (IRB), Institutional Animal Care and Use Committee (IACUC), and other regulatory compliance applications and renewals that may span across multiple agencies (VA, DoD, UW, and others). Review and interpret policies, regulations, and directives to ensure compliance with regulatory requirements.

Organize and implement systems for managing compliance for select multi-site research programs, serving as a liaison for partnering sites, oversight bodies, and investigators.

Foster strong working relationships with regulatory bodies (e.g., IRB, IACUC, VA Information Security & Privacy) to ensure compliance and address inquiries.

Coordinate meetings with PIs, co-investigators, sponsors, and other administrators, preparing agendas and supporting materials.

Grants ManagementAssist with the grant proposal submission process, to include preparing administrative components of grant applications and Just-In-Time materials in coordination with SIBCR administration.

Perform post award activities, including annual progress report preparation and sub-award activation and management in coordination with SIBCR administration.

Monitor project purchasing, ensuring that all financial allocations and expenditures are in accordance with grant/contract guidelines & regulations as well as institutional policies.

Monitor monthly budget summaries and reports for PIs; reconcile actual expenses with anticipated invoicing and projected costs.

Assist with industry-sponsored clinical trial agreement budgeting, fiscal management, tracking legal and regulatory approvals, and communications with study team members, sponsors, and other stakeholders.

Facilitate unfunded research agreements such as material transfer agreements (MTAs).

Manage non-sponsored budgets, such as discretionary accounts and development funds.

Maintain documents such as CVs, Biosketches, Other Support and facilities pages.

Fiscal SupportServe as Purchasing liaison for GRECC PIs, placing and approving orders for office and laboratory supplies and equipment. Create and maintain standing orders for a variety of vendors. Assist PIs with travel arrangements and reimbursements.

Submit work orders for lab equipment repairs; procure and schedule outside maintenance when needed.

Human Resources & Administrative SupportAssist SIBCR HR and GRECC PIs with human resources activities, such as assistance with on/off boarding, staff recruitment plans, and coordination of annual performance evaluations.

Assist with processing Intergovernmental Personnel Act (IPA) Agreements and other personnel agreements as needed.

Other duties as assigned.

QUALIFICATIONSMinimum Qualifications:Bachelor's degree.

Two years of relevant experience.

Prior experience or exposure to research administration including exposure to regulatory compliance (IRB, IACUC) application processes, Uniform Guidance (2 CFR 200) and knowledge of government grant funding rules.

Excellent verbal and written English language skills and the ability to communicate effectively with personnel from a variety of levels.

Proactive, can anticipate needs, and set and meet deadlines.

Advanced proficiency with Microsoft Office/Adobe and knowledge of Excel formulas and functions.

Efficiently planning, organizing, and prioritizing your work as well as that of others.

Ability to navigate complex internal systems.

Basic mathematical ability and budgetary knowledge (ability to reconcile, manage, and report budget information).

Preferred Qualifications:Prior administrative experience in a research or academic setting.

Proficient in fiscal and budgetary management.

Experience in preparing and managing components of NIH grants.

Exposure to industry-sponsored clinical trials.

Work Location:This position is based in Seattle at the VA Puget Sound and is not a remote position.
