For detailed information on Benefits for this position, click here.The Recruiting Coordinator works closely with 22+ recruiters and 7 recruiting coordinators in a fast-paced, full-cycle recruiting environment. This role is an integral partner in managing recruiting activities, building candidate relations, and often, providing candidates with their first impression of UW Medicine, Harborview Medical Center, and UW Medical Center. The Recruiting Coordinator will be responsible for opening job requisitions, candidate relationship management, screening of applicants, verifying licensure/credentials of applicants, scheduling of interviews, creating offer letters, generating recruitment reports, and coordinating the new hire pre-boarding process. The Recruiting Coordinator must provide superior customer service to our job applicants, newly hired employees, as well as to our internal customers.DUTIES AND RESPONSIBILITIES
Reference Checking – Conduct reference checks for final candidates of recruitments.Applicant Tracking System & HRIS – Update candidate records and job postings in recruiting systems, including applicant tracking system. Create new positions and requisitions in our Workday HR/Payroll system and ensure accuracy of data entry.New Hire Pre-Boarding – Coordinate all necessary communications, paperwork, and processes for newly hired employees to ensure a successful pre-boarding to on-boarding experience. Perform background checks, license/credential checks, and education verifications on newly hired employees. Coordinate the preparation and distribution of new hire confirmation and welcome letters. Verify that all new hire paperwork is complete and follow up as required on problems or missing information.Communications - Serve as initial point-of-contact for external and internal inquiries regarding employment opportunities. Use exceptional customer service skills in all interactions. Respond to inquiries regarding policy and procedure information to applicants, staff, and leadership. Provide follow-up correspondence to candidates on recruiting status via phone and email. In collaboration with recruiter, generate offer letters as needed.Team Collaboration – Develop close working relationships with the recruiters and other recruitment coordinators to effectively support the staff recruitment function and UW Medicine. Partner with Recruiters on ongoing candidate pipeline development, lead generation, and collaborative staffing efforts.Applicant Screening – Review job applications for completeness and screen for job requirements. Conduct phone screens. Perform licensure verification on job applicants to confirm candidates meet requirements of position applying for.Interviewing Scheduling & Calendar Management – Schedule interviews and phone screens working directly with recruiters, candidates, and hiring managers; in some cases, arranging travel for visiting candidates. Responsible for complex calendar management and scheduling of internal and external meetings.Recruitment Incentive Programs – Generate paperwork and coordinate signatures for approval for sign-on bonus incentive payments, relocation incentive payments, and employment referral payments. Track incentive program activities (delays, approvals, denials) with a focus on accuracy, follow-through, and payroll deadlines.New Hire Orientation – Participate in the new employee orientation process in roles of greeter as well as general support.Reports & Other Projects – Generate recruitment metric reports for internal use, meetings, and leadership distribution. Track recruiting activities and provide candidate status on daily/weekly reports. Participate in recruitment team process improvement projects—identify opportunities to improve candidate experience and scheduling. Prepare presentation materials or summaries for recruiters running recruitment debrief meetings, recruiting event flyers, employer panels, school/community outreach efforts, etc.KNOWLEDGE, SKILLS AND ABILITIES
Effective professional communication skillsDemonstrated track record of providing a high level of service excellenceAdvanced written and verbal communication skillsProficiency with Microsoft Office applications, specifically Word, Excel, Outlook, and PowerPoint.Calendar management experience using OutlookDemonstrated track record of effectively and efficiently organizing and prioritizing workFlexibility in meeting workload fluctuationsHigh attention to detail with a focus on controlling for errorMINIMUM REQUIREMENTS
Four years of office experience including two years of increasingly responsible experience in a human resource or related setting OR equivalent education/experience.DESIRED QUALIFICATIONS
