OverviewThe
Commercial Property Manager
is responsible for supporting the success of the real estate investment portfolio through management of commercial and residential properties for Aterra Real Estate Holdings, LLC.The Property Manager participates in all aspects of day-to-day operations of the properties, including tenant relations, maintenance and repair, vendor management, janitorial services, and exterior maintenance. The Commercial Property Manager oversees tenant complaints and service requests and must be familiar with the terms of tenant leases. The Property Manager assists in the preparation of the annual budget, reporting and monthly financial performance of the property.Responsibilities:Provide excellent customer service to tenants, vendors, and Aterra team members. Respond to tenant requests/issues in a timely and courteous manner and generate work orders directed to vendors or maintenance staff.Conduct periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property.Ensure that property and lease files are properly maintained. Prepare and maintain appropriate tenant lease files, records, correspondence, and file notes.Actively administer tenant occupancy, including creating leases and providing the new tenant with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures.Become proficient with the Yardi property management software. Partner with accounting staff to monitor all key dates and reporting within the Yardi system.Tour properties with Maintenance Manager on a routine basis for inspections and coordinate follow-up on any necessary property maintenance and vendor concernsPrepare all tenant communication documents including administrative forms to support the day-to-day operations for and management of the Aterra portfolio. Coordinate appointments with tenants, inspectors, vendors, brokerage staff, and team members, as needed.Obtain estimates/bids for repairs at the property. Generate and track Work Orders, approvals, and distribution to appropriate contacts. Follow-up on outstanding items, whenever necessary.Prepare tenant default notices for any monetary or non-monetary tenant violations per the terms of the lease agreement.
