Scheduled Hours: Days (Weekends Off) Work Area: Ward F
Forensic Treatment Center provides specialized care for clients diagnosed with mental illness. The South Campus is looking for a detailed oriented Administrative Support Assistant to support the NOP Program.
Responsibilities
:Types and edits a variety of material, such as program and individualized client treatment schedules, which may contain technical or specialized terminology; reviews documents for accuracy and completeness.Serves as information clerk; receives and distributes messages; and schedules and/or arranges appointments .Composes routine correspondence; proofreads and/or finalizes letters, memorandums, reports, or other documents for approval and/or signature.Establishes and maintains filing systems; prepares records for storage and/orMaintains office equipment and supply inventory for clinical treatment team members; Serves as alternate for fulfilling these functions for the nursing department/program treatment areas when ward clerk is unavailable; maintains records relating to receipt and issuance of materials or equipment.Prepares agency documents such as purchase and supply requisitions, and expense accounts; performs math calculations in the completion of forms and records.Assists with the arrangement of travel and accommodations and in the coordination of meeting logistics.Processes and distributes mail according to established procedures; prepares material for mailing utilizing automated equipment when applicable.Performs data entry and develops routine spreadsheets and databases. Compiles and prepares data or reports from a variety of sources in accordance with specific instructions or procedures.Operates and maintains standard officeProvides guidance, direction, and training to the program ward clerk; reviews work for accuracy, timeliness, and compliance with instructions and procedures.Eligibility
:No discipline within the last 12 months1-3 years of relevant experience; substitutions may be allowedAbility to overcome complex and stressful situations by planning and utilizing efficient time management skills to meet deadlinesProficient knowledge of computer software (Microsoft Word, Excel), CareWare and other scheduling programsGood problem solving and organizational skillsExcellent communication and interpersonal skillsReliable with respect to confidentiality
