Pavion and our family of companies are seeking a talented and motivated Installation Coordinator to join our security business unit.
Primary Responsibilities:
Making initial contact for new projectsThank and welcome customerProvide name of assigned Project ManagerProvide details of the next stepsProvide a contact listGather pertinent data from customer that needs to be given to Project ManagerAssist Project Managers with schedulingUpdating scheduling software – projects, office, training and PTOCoordination with subcontractorsVerification of dates/times with customersAssisting with reschedulingAssists Project Managers with outbound shipping coordinationPrep outbound shipments to subcontracts or customersCreate Packing SlipsAssists Project Managers with managing Posting Usage in Business CentralKeeping track of what parts leave building from Pre-Pack areaPosting the release of Staged parts to Posted UsageOversees Part Sale projects (sold by local Sellers)Verifies all information with customerRequests to order or pull from stockCoordinate shipment or delivery to customerRequest for invoicingJob closeout functions in Business CentralHandles over the counter part sales (call in or email requests from customers)Create Work Order/Job in BC and CRMVerifies all information with customerRequests to order or pull from stockCoordinate shipment or delivery to customerAccess card programmingProgram cards for contracted servicesCoordinates Install Department monthly vehicle inventory and spot inspections of vehiclesAssists Business Operations Manager in periodic physical inventory functionsEnsures a clean environment in work areaBasic Qualifications:
High school diploma3+ years of administrative support in the service provider industryProven proficiency in MS Office suite specifically (Outlook, Excel, Word)MS Teams experience (Chat, create and/or attend necessary virtual meetings)Proven ability to resolve problems and understanding when to escalateProven communication skillsExcellent attention to detailProven initiative and self sufficiencyAbility to periodically work in a warehouse environment (standing, walking, lifting up to 30 poundsOccasional availability for increased hours based on receiving volume and other coverage dutiesMust be able to work on day(s) relating to annual physical inventory
