Proposal Coordinator
with proposal management & coordination experience. This role will support Cordoba Proposal Pursuit Team: Assist Proposal Manager, Subconsultant Management, Coordinating, InDesign/Graphics support, Internal Schedule, Quality Focus, Technical Writing/Review, Database Management, Support with Proposal Task, Pre-position, Business Development, Tracking-KPIs/RFPs/RFQ, Updates, Research Business Markets, Track Contracts/Win-Loss, Attend Events/Meetings with Sectors (Corporate Services, Energy, Education-Facilities, Water, and Transportation)
You will join our Cordoba Proposal Pursuit Strategy Team, which works collaboratively with all Cordoba Sectors to make our proposals and marketing collateral professional, technically sound, and of the highest quality. Members of the Proposal Pursuit Strategy Team are expected to be self-starters with excellent oral and written communication skills, team players ready to support one another, and have a vested interest in Cordoba's success. This role will report directly to the Proposal Pursuit Strategy Director.
Responsibilities
Support our sector managers in client account management and prepositioning (if requested), and proposal/SOQ and interview preparations activities.You must:
Possess a broad understanding of business objectives, priorities, and pursuit strategies for the proposal management process.Provide detailed review and analysis of RFP/Q documents to develop a detailed proposal directive.Utilize knowledge of the industry, firm strengths, and competitors to collaborate with members of the sector proposal team to develop the strategy, value proposition and recommendations for relevant projects and key personnel to be included in the proposal/SOQ.Possess the ability to manage small to large proposal efforts under the guidance of the Proposal Manager or Director of Proposal Pursuit Strategy.Have strong written, editorial, and proofreading skills to perform research and writing for non-technical proposal sections and client account management documentation.Have strong written, editorial, and proofreading skills to coordinate with our sector proposal teams to assist in the development of technical proposal sections and client account management documentation.Collaborate and assist the Cordoba Sector proposal teams/subject matter experts to develop and edit their proposal technical narratives.Possess the ability to learn and utilize Adobe products (InDesign, Photoshop, Illustrator) to collaborate with our graphic artists to create branded and graphically appealing BD projects and proposals.
Apply proposal management best practices in setting up and supporting proposal teams for success after RFP release. Duties may include, but will not be limited to:
Creating Proposal Directives, subconsultant requests for information, gathering resume information for specific criteria, working with Cordoba's legal team to fill out forms as needed, etc.Use of Microsoft Project to initiate, track, monitor, and update proposal schedules with the proposal teams from start to finish.Implementing Cordoba branding on all proposal assignmentsChecking client bid websites for current/updated information and addenda and providing to the proposal teams throughout the proposal process.Organizing and participating in kick-off meetings and other milestone meetings throughout the proposal process, as requiredScheduling, initiating, and providing current and accurate documentation during the Pink, Green, Red, and Gold Team reviews during the proposal process.Being accountable for quality assurance/quality control (QA/QC) of your own work and maintaining compliance and high quality for final proposal documents before they are submitted to the clients.Managing the interview process by tracking proposals after submittal, scheduling strategy meetings in advance of being shortlisted, and supporting the proposal teams during interview preparations. (i.e., coordinating interview preparation meetings once shortlisted; managing our Graphic Designer to develop the presentation materials; and working with the sector to develop the content of the technical presentation materials for the interview)Supporting content migration during proposal closeout activities, including resume updates, project description updates, boilerplate updates, graphics, and proofs.
Performing Business Development related duties; prep-positioning, conference-events, researching as assigned.Qualifications
BA/BS, AA preferably in English, Communications, Marketing, Journalism, or a related field to proposal coordination efforts in the architectural/engineering/ construction (A/E/C) and utility industries,2+ years of related proposal management/coordination and writing experience.Excellent verbal communication/presentation and writing skills.Ability to work independently and on multiple teams and handle several assignments simultaneously.Working knowledge of collaborative tools such as MS Teams, SharePoint, and Adobe products (InDesign, Photoshop, Illustrator) for proposal efforts.InDesign will be a key function and responsibility to support the Graphics Team.Strong focus on details and clear, concise writing.Ability to demonstrate organizational and time management skills and multi-task high priorities.
Salary Range: $32.00 to $45.00 per hour.
Work Environment: Hybrid
Location: Santa Ana or Orange County preferred. Also open to San Diego, Los Angeles, Ontario, or Chatsworth.
