Job Description
The Administrative Assistant reports to the General Manager, this is an onsite 40 hours per week role who assists the General Manager with office, administrative and clerical functions, coordinating and scheduling, team collaboration and customer service driven are essential for success in this role.
Daily responsibilities:
Walk and inspect property, ensure property is well maintained.Issues violation letters to homeowners and follow-up to ensure corrected.Meet and greet homeowners, residents, maintenance vendors and contractors.Respond to inquiries in-person, by phone, and email.Data enter and update information in the database, record and track documents and information.Assist in creating and managing violation letters, clubhouse rental requests.Assist with and schedule and coordinate maintenance vendors and contractors.Assist in preparing board packages, schedule monthly and annual board meetings.Assist with creating communications by mail and email to homeowners notifying them of maintenance onsite, and community events.Assist homeowners in completing architectural review forms and follow-up.Other project as assigned.Requirements
High school diploma or GED equivalent is required.Customer service driven and team oriented.Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.Strong communication skills (written and spoken).Must be able to meet deadlines and multi-task.Proactive, reliable, and dependable.
