The work environment is one of substantial stress due to the continually changing federal and state program guidelines and the necessary revisions to office procedures and policies to meet these external demands.The Financial Aid Office operates in a progressive technological environment which requires expertise with enterprise applications, U.S. Department of Education and Illinois Student Assistance Commission systems and their databases, and various software programs.Assuring direct financial aid services are performed in an efficient yet customer oriented manner, within the context of a multi-level staff with widely varied skills and personalities.Addressing individual student concerns in a caring but professional manner, while maintaining the integrity of the financial aid process.Solving complex student problems, often while dealing with emotional and angry students or family members, without exacerbating the problem, but acting within the context of federal, state and university regulations.
Examples of Duties
The primary purpose of this position is to manage the Financial Aid Services Unit in the Financial Aid Office. Financial Aid Services is responsible for all direct contact with students and families, including all regular personal and telephone contacts, virtual appointments and emails. This position has a high degree of independence in addressing student problems and making decisions regarding exceptions to Financial Aid Office policies and procedures. The position is encouraged to pursue innovative approaches to problems, and to interact freely with other supervisors in the office. The position makes effective recommendations on customer service and internal staffing issues, and on appropriate interactions with other University entities, to the Director of Financial Aid.
The Financial Aid Office is a division responsible for all aspects of the administration of student financial aid. This involves the following:
a. Information, general advisement, and individualized counseling is provided to students, families, the University, and the public regarding financial aid opportunities and eligibility, procedures to apply, and budgeting techniques for effective management of financial resources.
b. Financial aid is processed and delivered to students in a timely manner to eliminate the financial barriers to higher education and promote student recruitment and retention, especially for the economically disadvantaged. This financial aid processing is highly technical and requires extensive computer support.
d. Special services are provided as needed to all students including minority students, graduate and professional students, veterans, nontraditional students, international students, and students enrolled in special programs. Excellence is promoted through the administration of academic, athletic, and talent grants and scholarships. Counseling to encourage budgeting and responsible repayment of student debt is provided.
e. All financial aid functions are conducted in strict accordance with federal, state, and institutional laws, regulations, and policies to prevent liabilities for the University, and to promote service to students through the continuation of financial aid programs.
f. Financial Aid Office staff actively participate in the promotion of financial aid opportunities through involvement in professional activities and organizations.Qualifications
Bachelor's degree in business, communications, humanities, social sciences, education, or a closely related field to the position.One (1) year (12 months) of professional and supervisory experience working in student services, financial aid/loans or a closely related field within higher education or a related agency.Prior knowledge of Federal and State laws as well as regulations pertaining to financial aid programs.Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.NOTE: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.
