Job Summary:
The Nursing Coordinator must have excellent organizational and administrative skills. Coordinators are expected to be decisive leaders with superb time management and record-keeping skills. They handle organizing and overseeing the daily activities of healthcare facilities such as hospitals, clinics and other patient care facilities. They manage staff, communicate with different departments and ensure adequate patient care amongst other duties. Coordinators will work comfortably under pressure while multi-tasking in a fast-paced environment and can effectively react to emergency situations and interpersonal conflicts that may arise in the team.
Job Requirements:
Minimum Work ExperienceTwo (2) years' experience working as a coordinator in a healthcare setting, or related experience, required.Must have experience working with computers and have the ability to document and communicate via office systems.Education and/or experience in a Medical Office setting is preferred.
Minimum Education
LPN with extensive experience working/leading in ambulatory settings can be considered commensurate to RN degree.
Annual participation and validation of skills at Hospital Clinic's skills fair required.
Required LicensesActive RN or LPN License in the state of Idaho.Current Basic Life Support (BLS) Certification.Valid Driver's License and Auto Insurance required, or other means of transportation to drive from clinic to clinic, if you are needed in another location.

Essential Functions:
• Be a clinical resource for problem resolution and patient care activities.• Evaluate personnel with Annual Performance meetings and paperwork. Coordinator will work with the Clinical Nursing Director on staff improvement plans, set up meetings with staff, along with documentation for follow-up plans and provide conflict resolution processes with staff.• Help with recruitment, screening and enrollment of personnel. Work with HR on job posting and set up interviews. Lead the orientation/induction of new co-workers and confirm that all necessary documentation is complete, including first day orientation forms, skills checklist, etc. Walking through the hiring process with new staff ensures this process goes well and on time.• Provider/clinical staff onboarding and EHR training. Ensure all staff are set up with the correct EHR privileges/profiles for job descriptions. Inactivate staff that are no longer working.• Ensure that core clinic functions are standardized as appropriate across clinic locations and compliant with quality and regulatory requirements.• Collaborates with Gritman departments such as lab, pharmacy, materials management, EVS and hospital leadership to ensure compliance and quality assurance standards are met or exceeded.• Takes part in development, review, and implementation of clinical policies, procedures, & protocols across Gritman clinics.• Maintain the staff scheduling system/platform, for clinical staff. Maintain staff schedule for 8 weeks at a time.• Organize and oversee patient care to ensure patient needs are met and patient care policies are followed.• Oversight of clinical performance improvement processes as well as CQI (continued quality improvement) activities in the department.• Enlist, allocate, and coach staff to increase efficiency and effectiveness of care within the clinic in line with standards.• Supervise observance to time and attendance policies and applicable documentation. Approve clinical staff timesheets, along with changes and updates.• Execute department head duties/tasks when Nursing Director is absent.• Reports effectively and often with the director about any patient or staff problems needing escalation.• Confirm that incident reports are documented properly with Quality Investigation Forms, Medication Event Forms, Employee Injury Reports, etc.• Oversee and train leads as applicable, on incident reporting and documentation. Provide coaching and support for clinical staff about completion of incident reports.• Maintain a robust working rapport with doctors and co-workers, as well as other departments Gritman wide.• Managing the clinics' supplies and inventory needs along with the organization and set up of new clinics.• Report on an individual staff or any patient problems to the department director in prompt fashion.• Review fiscal responsibility reports with Nursing director to support budgeting goal attainment.• Collaborate with Gritman Disaster Preparedness committee to facilitate participation in bi-annual disaster preparedness drills and debrief exercises. Work with clinic leads to schedule drills as indicated by director.• Perform all duties within HIPAA Regulations.
Patient Intake & Documentation of Clinical Care:Coordinators are responsible when coverage is needed to prepare exam rooms, assist patients to exam rooms, preparing patients for age/gender -appropriate patient assessments, documentation of clinical intake, monitoring, patient interventions, and outcomes to care. Coordinators are additionally responsible to document all care and communication provided to (or about) our patients.
CLIA-Waived Lab Testing:Coordinator oversees/manages performing CLIA-waived lab testing in the clinic and compliance with all related regulations and quality assurance measures, in coordination with the Gritman Laboratory. Able to perform venipuncture and capillary blood draws in the clinic and prepare blood samples for laboratory processing. All clinical personnel handle staying up to date on blood collection policies, procedures, and protocols, as well as keeping competency for each test performed.
Administer in-Office Diagnostic Tests as appropriate:The Coordinator can perform a variety of in-office diagnostic tests, including but not limited to, EKGs, vision and hearing screenings, etc. under the direct supervision of the healthcare provider.
Assist Healthcare Provider During Exams & Procedures:The Coordinator will aid the provider during examinations and procedures as needed and within their scope of practice.
Medication Prior Authorizations:The Coordinator will oversee performing medication prior authorizations with the patient's insurance company.
Online Incident Reporting:The Coordinator will handle reporting any variances, near misses, or patient complaints about clinical care using the organization's online incident reporting software. Reporting is a duty and obligation of the employee to promote safe patient care, a safe working environment, support process improvement and increase patient satisfaction.
EHR Clinical Work Queue's and In Boxes:Processes electronic documents both incoming and outgoing through electronic fax and clinical in-box in EHR. This includes, but is not limited to, patient cases/phone calls/portal, processing and labeling incoming medical records, refill requests, consult notes, lab results, and other correspondence.
Adult Vaccinations:Coordinator will be proficient in administering adult vaccines under the direct supervision of the healthcare provider.
Medication Injections:The Coordinator will be proficient in administering subcutaneous, intramuscular, and intradermal injections under the direct supervision of the healthcare provider.
Oversight of Medical Supplied and Inventory Control:Coordinator will work directly with Materials, EVS and clinical lead to ensure adequate inventory of necessary medical & cleaning supplies for the clinic, including promoting and confirming use of the electronic inventory scanning system and keeping appropriate par levels for the clinic.Weekly Validation of Temperature and QC Logs:The Coordinator will confirm monthly that temperature and QC logs are complete and correct. All variances or missing information will be documented in the online incident report.

Relays necessary non-urgent information to team leads and/or director (i.e., office supplies needed, malfunction of equipment, etc.)
