Job Summary

The duration of this temporary role is approximately 3 months.

The residency coordinator applies acquired skills, process, and policy knowledge to support professional health education program learners. Coordinates program operations, which include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, and program accreditation. Involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services includes activities in finance and human resources and may also include IT, facilities, or student services. General management includes long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff.

Key Responsibilities:

For the GPR Residency Program:Administers a range of administrative operations.Maintain records on continuing medical education (CME) and continuing dental education (CDE) courses.Serve as administrative liaison with the University's CME and CDE offices; comply with annual reports to maintain CME and CDE accreditation.Coordinate the residency program schedule, maintain residency files, and update the GPR program manual and brochure annually.Administer the application process, including scheduling interviews and communicating with the admissions office.Provide support to Residency Program Directors for accreditation reports.Manage ordering and disposal of cadavers for the Surgical Anatomy Course.Coordinate pre-doctoral exam preparation and scoring in conjunction with IT personnel using E-value software.Prepare class outlines, handouts, and exams, including occasional word processing as needed.Process HR-related transactions.Request hospital privileges and access to ApeX.Stay current with UCSF policies.Coordinate didactic teaching sessions with OMFS faculty, if needed.Coordinate the Grand Rounds schedule of OMFS faculty.Provide back-up support for the OMFS Residency program as needed.For the Department Office:

Coordinate with facilities management.Plan, schedule, and coordinate departmental meetings of critical importance.Manage Chair correspondence and communications.Maintain confidentiality on sensitive issues.Administer operations in HR and potentially IT, facilities, position postings, scheduling interviews, and/or student services.Keep records of various HR documents, such as certificates, graduation verifications, and other residency-related forms.For the Division Chief:

Plan, schedule, and coordinate meetings of critical departmental importance.Manage and coordinate Chair correspondence and communications.Handle speaking engagements and travel arrangements.Order supplies and place orders to maintain equipment in good working condition.Additional Department Responsibilities:

Coordinate Grand Rounds and department continuing education courses.Manage externships, preceptorships, fellowships, and clerkships.Coordinate graduation reception.Assist in designing and drafting website content, newsletters, and correspondence to organizational constituents.The final salary and offer components are subject to additional approvals based on UC policy.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range. Required Qualifications

Ability to use sound judgment in responding to issues and concerns.Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.Solid organizational skills and ability to multi-task with demanding timeframes.Working knowledge of common organization-specific and other computer application programs.Ability to use discretion and maintain confidentiality.Strong skills in short term planning, problem solving, and customer service.Preferred Qualifications

Working knowledge of University rules and regulations, processes, protocols, and procedures for personnel management.Knowledge of a variety of administrative operational activities such as event planning, website design, and payroll.Working knowledge of common University-specific computer application programs.Working knowledge of human resources policies and procedures for academic employees.
