The Orleans Parish Sheriff's Office (OPSO), New Orleans, Louisiana, provides the care, custody, control and rehabilitation of its residents in the Orleans Justice Center (OJC). The Civil Docket Manager, involves distinct docket areas within civil court's jurisdiction. The specific activities performed can be repetitive. There is added responsibility for handling total processes and/or accounting for significant sums of money. Work involves the application of varied clerical procedures surrounding the legal process and the exercise of independent judgment in solving docket clerical problems. Work is performed under the general supervision of the Chief Field Operations and may involve liaison with presiding judges, attorneys, other professional persons or agencies, and the public. The Civil Docket Manager will assume responsibility for the daily docket and court services including court filings, services of pleading, services of process, motions and other matters.
SALARY
The salary for the Civil Docket Manager will be aligned accordingly and commensurate with an applicant's knowledge, skills, experience, certifications and education requirements of the subject position.
JOB RESPONSIBILITIES
Primary Job Duties & Responsibilities:• Maintain litigation docket and calendar• Responsible for the complete processing of cases in one or more areas of court's jurisdiction, e.g., civil Uniform Interstate Family Support Payments, juvenile etc.• Establishes and maintains court records, files, accounts and statistics as required by each case.• Responsible for electronic filings in assigned courts. Must be familiar with and keep up to date on all filing rules, procedures and judge's individual practices.• Monitor case progress in assigned courts, obtain decisions and orders, obtain docket updates and communicate case status changes to responsible attorneys.• Act as liaison with court personnel - establish and maintain good working relations with court personnel including process servers and couriers.• Support projects such as, Docket Audits, Outstanding Motions Lists, Appeals Lists, Business Development List, etc.• Responsible for understanding and researching court procedural rules and determining if procedures need to be updated.• May have considerable contact by mail, telephone or in person with involved parties and their lawyers in order to move case through various stages to completion.• Accepts and records fines and fees. Provides information and assistance regarding court schedule, policies, and legal procedures, by letter, telephone and personal contact.• May arrange for accepting delayed or time payments of fines.• May occasionally take and transcribe dictation.• May act as fiscal clerk involving the maintenance of office accounts, including posting to separate accounts, paying jurors, preparing bank deposits, reconciling accounts, preparing quarterly reports, making Uniform Interstate Family Support Payments etc.• This job entails the operation of various types of electronic equipment and new equipment may be introduced at any time.• Plan, assigns and reviews the work of a large number of employees performing a variety of clerical functions.• Gives instructions and makes decisions on difficult clerical problems in connection with the work of subordinate clerical staff.• Schedules work to meet deadlines; establishes priorities and determines efficient ways to organize task of subordinates.• Prepares performance evaluations, makes recommendations, issues warnings and prescribes work schedules,• Resolve issues that may arise in a timely manner.• Assist in other tasks as assigned.
Requirements, Skills and Ability• Bachelor's degree in a related field preferred or 4 years of responsible general office/clerical experience.• Three years of experience in supervising a large staff of people.• Proficient in searching and retrieving information from court-related databases (e.g. Courtlink, PACER, eLaw, CourtAlert) and other on-line sources of case information.• Hands-on experience with rules-based calendaring software (e.g. CourtAlert, ComuLaw or ProLaw.• Demonstrated familiarity with federal, state and local court systems, including electronic filing systems.• Demonstrated familiarity with New Orleans Civil Practice Law Rules and Federal Rules of Civil Procedure.• Proficient in Microsoft Suite-specifically, Word & Excel, along with Adobe Acrobat, Outlook and Powerpoint.• Professional presence, high degree of trustworthiness in handling confidential sensitive information.• Strong leadership and teamwork abilities.• The ability to handle the stress of a high-powered position.• Excellent leadership and supervisory skills.• Strong skills in decision-making and problem-solving.• Strong analytical skills and able to adapt quickly to changing priorities.• High levels of integrity and confidentiality.• Strong organizational and time management skills.• Exemplary written and verbal communication.
