Job Summary:

The BPO Solutions Coordinator supports the planning, execution, and delivery of business process outsourcing solutions. You will serve as a liaison between internal teams, clients, and external vendors, ensuring smooth coordination of projects and operations. The role involves assisting in the development and implementation of BPO solutions, monitoring service delivery, and supporting efforts to improve efficiency and performance. As a key point of contact, you will help manage timelines, resources, and communication to ensure client satisfaction.

Responsibilities:

Project Coordination & Management:

Support intake process for new requests to the solutions team for evaluation.Assist in the planning, coordination, and execution of BPO projects, ensuring they meet timelines and objectives.Organize meetings, prepare agendas, and maintain project documentation.Track project progress and ensure deliverables are completed on time and within scope.Client Support & Communication:

Act as a point of contact for clients, ensuring regular updates and clear communication about project status.Handle client inquiries and provide information related to BPO solutions, timelines, and deliverables.Assist with the preparation of client-facing reports, presentations, and performance summaries.Operational Support:

Support day-to-day operations of BPO services, ensuring efficient workflow and adherence to service level agreements (SLAs).Coordinate with internal teams (operations, IT, HR) to manage resource allocation and ensure all teams are aligned with project goals.Monitor service delivery quality, escalating issues or delays to management as needed.Vendor & Partner Coordination:

Liaise with external vendors and partners to ensure alignment on project requirements and timelines.Track vendor performance, ensuring they meet contractual obligations and maintain quality standards.Support the negotiation and management of vendor agreements as directed by the BPO Solutions Manager.Data Reporting & Analysis:

Compile data and reports on project performance, including KPIs and SLA compliance.Assist in identifying areas for improvement based on performance data and feedback from clients and internal teams.Help track and analyze operational metrics to support continuous improvement initiatives.Process Documentation & Improvement:

Document business processes and workflows, ensuring up-to-date records of procedures and protocols.Support the identification and implementation of process improvements to enhance efficiency and service quality.Participate in process improvement workshops and provide input on operational enhancements.Cross-Functional Collaboration:

Work closely with various teams (e.g., IT, operations, quality assurance) to ensure seamless coordination and execution of BPO solutions.Support the implementation of new technologies or processes that improve service delivery.Training & Onboarding Support:

Help onboard new employees and provide guidance on process documentation, tools, and best practices.Skills Requirements:

Qualifications:

1-3 years of experience in BPO operations, project coordination, or a similar role.Strong organizational skills and attention to detail.Ability to manage multiple tasks and prioritize effectively.Excellent communication and interpersonal skills, with the ability to interact with clients and internal teams.Proficiency in MS Office (Word, Excel, PowerPoint) and project management tools (e.g., Asana, Trello, Jira).Preferred Skills:

Experience in BPO or outsourcing environments.Familiarity with process improvement methodologies such as Lean or Six Sigma.Knowledge of CRM, ERP, or workflow management systems.Basic understanding of automation tools or technologies like RPA.Key Competencies:

Education Requirements:

Bachelor's degree in Business Administration, Project Management, or related field.

Physical Requirements:

This role may involve occasional travel to client sites or external vendor meetings. Flexibility in working hours may be required to support global clients or meet project deadlines.
