Job Summary:
Reporting to the Chief Advancement Officer, the CRM Database and Advancement Operations Manager is a full-time staff member with primary responsibility for maintaining and optimizing the Museum's Altru database and compiling and synthesizing data across Advancement, Visitor Services, Marketing, and other departments to facilitate and enhance reporting and essential decision-making throughout the Museum.
Responsibilities and Duties: Oversee the daily operations and maintenance of the Museum's Altru database system, ensuring data integrity, accuracy, and security Across Advancement, Membership, Visitor Services, Education, Marketing, and the Museum Shop. Develop and generate a suite of dashboards, progress updates, and other reports related to Membership, Advancement and all philanthropic giving, ticket sales, program and event attendance, admissions, program to giving impact, retail activity, and other metrics to inform decision-making on a monthly, quarterly, bi-annually, and yearly basis. Provide key support for the tracking and reconciliation of monthly philanthropic revenue secured in general and against core initiatives, liaising directly with the Business Office, including the Controller and Chief Financial Officer, and the Chief Advancement Officer, to ensure accuracy, consistency, and congruency between Advancement and the Business Office relative to revenue and expense allocations, support against goals, and the storyline against the Museum's annual budget. Execute general and tailored queries and suppression reports in connection with all Advancement mailings, events, email communications, and giving activity. Provide oversight for philanthropic gift processing, data entry, recording, and acknowledgment of gifts, working with SAMA's Advancement Coordinator (and Chief Advancement Officer). Providing training and support for all database users Museum-wide to ensure consistency and effective use of the Altru system based on particular roles. Perform regular data audits to ensure quality control and support technical capabilities throughout the organization. Support efforts to improve external user experience (UX) for donors, members, and visitors. Establish protocols for information sharing across Museum departments. Ensure data feasibility for Marketing tool automations. Perform regular Altru system updates, backups, and optimizations to improve performance and reliability. Serve as the primary liaison with Blackbaud/Altru and coordinate with the Business Office, IT, and external vendors to integrate Altru with other Museum systems as needed. Work closely with Chief Advancement Officer and other department colleagues on key Advancement goals and strategies, including those related to campaigns, revenue/donor tracking and analysis, forecasting, and support for events and other initiatives, where necessary. Perform other related accountabilities as assigned Knowledge/Skills/Abilities:
Proficiency with Altru or other Blackbaud CRM database system, MS Office suite (Excel, Word, Outlook, and PowerPoint), and Teams. Adept with data analytics and interpretive written and verbal presentations. High level of accuracy and critical thinking aptitude, as well as attention to detail in data management and reporting. Strong organizational skills, including ability to multi-task and manage multiple initiatives, priorities, and deadlines simultaneously. Excellent written and verbal communication skills, including detail(s) and outcomes orientation and focus. Strong interpersonal skills, including ability to establish and build rapport with internal colleagues throughout the Museum. Demonstrated commitment to excellent customer service and hospitality. Reliable, punctual, personable, and self-motivated; ability to work both independently and as part of a dynamic team. Collaborative and positive disposition, "can do" attitude, poise, and high degree of professionalism. Ability to handle all intellectual, analytical, and physical requirements of the position, including potential for on-the-spot decision-making and problem-solving. Qualifications:
Bachelor's degree in Business Administration, Information Technology, Arts Management, or a related field, or have related experience. Minimum 3-5 years' experience in CRM database administration, preferably with Altru or a similar system, and solid experience in Advancement and Membership management. Deep understanding of data and systems and how to utilize data to show impact, tell a story, and support decision-making. Previous experience working in a museum or arts-related environment. Experience with CRM tools, including prospect research, predictive modeling, ticketing, etc. is preferable. Ability to work occasional weekends, evening hours, and holidays. In-office work required. Working onsite at a desk in a renovated historic building on a 12+ acre campus. Standing, walking, bending, climbing stairs, stooping, and lifting up to 20 lbs.
