Assistant to the Vice President for Diversity, Equity, and Inclusion

The Assistant reports to the Vice President for Diversity, Equity, and Inclusion and plays a crucial role in advancing the divisional mission of promoting a welcoming community. The role focuses on providing essential operational and office management support to the Vice President, Directors, Assistant/Associate Director(s), and respective student teams.
The Assistant will strategically support various departments within the division, including the central Diversity, Equity, and Inclusion office, the Days-Massolo Multicultural Center, Title IX & Civil Rights Compliance, and Accessibility Services, addressing their administrative and operational needs.
This is a full-time, non-exempt position with a pay range of $20.00 - $24.00 per hour.
Responsibilities
Financial Management: Manage the divisional budget(s), process financial transactions, handle reimbursements and reconciliations, and oversee Human Resource management, including hiring, tracking student staff hours and wages, and payroll.
Business Office Liaison: Collaborate with the Hamilton College Business Office to support the division's business and budgetary operations.
Communication and Calendar Management: Handle divisional communications, including email accounts, phone calls, messages, and general inquiries. Manage the calendars for the Vice President and Directors, along with resource management, including inventory, orders, and Facilities Management maintenance requests.
Office Management: Lead office operations, including resource management, process improvement, and reducing inefficiencies.
Meeting and Dashboard Support: Support divisional meetings and develop a dashboard to track progress towards divisional goals.
Document and Communication: Assist in creating divisional and departmental forms, reports, and formal print and digital communications, such as posters, flyers, and web updates.
Diversity and Inclusion Support: Model and champion the Division of Diversity, Equity, and Inclusion's mission by managing operational and support needs, student staff, visitor experiences, and team support and care.
Bachelor’s Degree preferred.
3-5 years of work experience that includes application of confidentiality and empathy while meeting the administrative needs of the organization.
1 year of experience in a higher education and/or non-profit setting is preferable.
Equivalent combinations of education and experience will be considered.
Knowledge and experience in supporting a diverse community through inclusive practices.
Knowledge, Skills, and Abilities
Proficiency in software applications, including DocuSign, PeopleSoft, and Microsoft Office Suite (Excel, Word, Outlook).
Strong data gathering, summarizing, and reporting skills.
Experience and knowledge in accounting and financial reporting preferred.
Willingness to adapt and learn social media platforms, data systems, and web management.
Effective communication with diverse communities in an academic setting.
Ability to work collaboratively and independently.
Strong leadership skills, creativity, and the ability to oversee various administrative duties and special projects.
Experience in coordinating activities and adapting to new technologies.
