The State of New Hampshire, Bureau of Family Assistance has a full time vacancy for : Executive Secretary

SUMMARY:

Monitors and performs diverse clerical and secretarial support functions to assist in the day to day operations of the Bureau of Family Assistance (BFA) Training Unit and Error Prevention Team (EPT). This position reports to the Training Unit Manager.

MINIMUM QUALIFICATIONS:

YOUR EXPERIENCE COUNTS : Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.

Education: High school diploma or high school equivalency credential. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Three years of experience in a secretarial position including supervisory, administrative support, or office management experience.

License/Certification: None required.

RESPONSIBILITIES:

Performs receptionist responsibilities, to include answering incoming telephone calls, assisting callers with general inquiries, triaging calls to Unit staff, returning collateral calls, filing, manage incoming and outgoing office faxes, accepting deliveries and providing visitor assistance.

Monitors, logs and processes Training/EPT Unit emails; responding to those that are within the secretarial role and appropriately triaging others to other appropriate Unit staff as needed.

Manages incoming and outgoing mail and general mail distribution to staff within the Unit.

Answers requests for information and/or trainings that come into the Unit via email, fax or phone and schedules those interested in trainings into appropriate upcoming training sessions and/or provide requested materials timely.

Prepares, monitors, and schedules trainings for BFA staff and external partners. Prepares training materials, secures facilities/rooms for trainings, tracks participation and prepares completion certificates.

Assists with the enrollment process in Moodle, the Units online learning platform, enrolling staff in the system, assigning and resetting passwords, monitoring completion of assigned modules and tracking enrollments and successful completion of courses.

Accesses New HEIGHTS and/or other Unit databases to prepare bi-weekly reports related to the Error Prevention Teams case reviews, document outcomes, identify and track common case processing error elements cited and identify trends and patterns, all of which will assist the Unit Management Team in determining training and policy updates and improvements needed.

Oversees the completion of supply orders and equipment inventories to ensure that office personnel have supplies and equipment needed to perform their responsibilities and to keep unit running smoothly.
