Together, we can make a lasting impact in the Bay Area and beyond.Position SummaryThe Facility Coordinator will frequently be the point of contact for staff, clients, landlords, and vendors to resolve facility-related issues. They will handle inquiries and complaints from various parties and assess problems to ensure quality issue resolution. The Facility Coordinator will need to be task-focused yet relational in order to get everything done while representing Menlo Church in person, over the phone, and via email.Essential FunctionsProvide general overall facility management services, including continuous monitoring of office/facility.Address client inquiries and concerns ensuring timely and quality issue resolution and service delivery. Ensure each task is complete to customer satisfaction.Assist the Director of Facilities with responding to all facility inquiries and complaints, assess problems, and take the necessary corrective action.Remain knowledgeable regarding all operational aspects of building systems.Coordinate with outside contractors for the service and repairs of equipment.Follow protocol for effective building-specific maintenance and safety procedures.Maintain ongoing communication with contractors, clients, and team.Assist with site inspections within the assigned building portfolio.Create work orders and assign work orders to the engineering staff, subcontractors, and vendors.Report on open and closed work orders and check the status of open work orders with the assigned party.Request, review, and submit work orders, bids, and proposals from vendors.Verify final invoice pricing and process payments in a timely manner.Assist in the monitoring and assessment of vendor performance.Assist with training the team on work orders and billing procedures and EHS.Manage service and performance of vendors and landlords for timely completion of jobs.Create and record appropriate written communication between all parties.Schedule and document maintenance and repairs on building equipment.Communicate frequently with clients, landlords, and vendors to resolve issues and provide project status updates.Coordinate special events in support of clients.Assist with measuring and reporting key performance indicators against service level agreements (KPIs).Provide facilities helpdesk services on behalf of the client(s) and monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work product.QualificationsRequired Education and ExperienceBA/BS3-5 years of relevant experienceRequired Skills:Communication Proficiency (oral and written)Customer FocusInitiativeSense of UrgencyMulti-TaskingDetail OrientedTime Management SkillsTeam OrientationMust have an intimate, personal relationship with Jesus Christ. Must be pursuing or active in a community of believers who can speak truth into your life.Physical DemandsWhile performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard. Specific vision abilities required by this job include close vision requirements due to computer work. Light to moderate lifting may be required. Regular, predictable attendance is required to meet with the public and team as business demands dictate.Occasionally lift and carry up to 20 pounds.CompensationThe pay range for this role is: $25 - $34 USD per hour (Exact compensation may vary based on skills & experience.)
