You will be responsible for planning, executing and managing all School of Kinesiology (SOK) student, faculty, staff, alumni, and donor events. You will report to our Senior Director, Major Gifts and Strategic Initiatives and may supervise our student temporary staff.Responsibilities*
Events Management (70%)Set long-term goals for school events and maintain a master calendar of eventsManage event logistics, such as room/venue reservations, catering, RSVP tracking, staffing, audio/visual service, etc.Provide event budget projections to clients; reconcile final event budgets and expensesComplete and submit contracts (room/venue reservations, catering, reserved parking, etc.)Coordinate and execute on-site event setup and teardown; troubleshoot last-minute changes; resolve issuesProject, track, and reconcile yearly events budgets; keep leadership aware of any discrepancies or budget concerns; prepare and submit monthly P-Card statementsLead the SOK events planning team: communicate assignments and expectations; meet monthly or quarterly to discuss past and future events (challenges, best practices, etc.)Recruit, train, and manage volunteers and work-study students for staffing at eventsAlumni and Donor Engagement (30%)In partnership with the Development team, participate in the conception and implementation of meaningful alumni and donor engagement activitiesCreate, plan, and manage our alumni engagement programs, including regional programming; annual homecoming event; online alumni community; etc.Develop and monitor mechanisms for measuring programs' success; develop annual calendar of activities and oversee the development of online opportunities for alumni and donor engagementOversee the activities of our Kinesiology Alumni Society (KAS)Required Qualifications*
Minimum of 5 years of professional event planning and management experience, or a bachelor's degree with at least 3 years of professional event planning and management experienceDeep dedication to customer service; demonstrated ability to develop and maintain inclusive and trust-inspiring working relationships with a diverse group of internal and external constituentsProficiency in Microsoft Office programsMust be able to move items up to 40 poundsNote:This position involves work outside of normal work week and business hours and may include early mornings, evenings, and weekendsLocal and national travel may be requiredApplication Deadline
