Position Summary

This position reports up through the Office of the Chief of Staff in the Chairman's Family Office and supports the Executive Events team, which includes the Director of Executive Events and Sr. Manager of Executive Events. The Executive Events Coordinator is primarily an administrative role that requires impeccable attention to detail, being able to multi-task, take initiative and work independently. In addition to administrative tasks required for lead-up to events, this role also requires working event days (all Atlanta Falcons home games, select Atlanta United matches, third party & personal events). This position is for someone who thrives in "behind the scenes" supportive work, but also has a hospitality, events and logistical mindset.

Roles and ResponsibilitiesAdministrative Duties:

Communicates at a detailed level with the Admin Team in the COS Office, house staff, security, and aviation associates to ensure all departments are aligned as needed.Pick up and deliver packages offsite as well as ship packages for the Executive Events team.Assist Executive Events team with online shopping, returns and Amazon orders for supplies at Mercedes-Benz Stadium and other events.Work with Finance to ensure Suite Master Tips trackers for MBS events and golf events/outings (i.e. caddies, forecaddies, etc.) are updated monthly.Track invoices for Executive Events team.Management and inventory of merchandise including team gear and team autographed items for use for Chairman's family and auction items.Collect and track NDAs annually for MBS staff and other outside vendors.UPS shipping account management & coding for accounting and budget purposes.Participates in daily Office of the Chief of Staff morning meetings to ensure communication and alignment on all upcoming events on the Chairman's calendar.Mercedes-Benz Stadium Coordination:

Assist with coordinating and executing Atlanta Falcons games, Atlanta United matches, and Mercedes-Benz third party events. This includes:Creation of guest biosCreation of seating cardsAssist Sr. Manager with guest ticket and parking distribution, as directedVendor/staff parking distributionSuite gifting coordination and shippingSuite floral coordinationGame day giveaways communication and coordinationStaffing at Atlanta Falcons home games and other events as needed and directed by the Director of Executive EventsSupport Sr. Manager with Guest Communication tracker spreadsheet for all stadium events.Assist with creating event grids.Assist with VIP badge and lanyard coordination and distribution for all MBS events.Event Coordination:

Assist in the planning and execution of business and personal events on behalf of the Chairman. This includes:Hilton Head Golf Outing - staffing the event, website design, invitation design, guest rsvp tracking, guest lodging coordination, guest bio creation, binder assembly, guest communication folder, itinerary coordination, vendor coordination, and other duties as assignedFloridian Trips - invitation designAnnual Fall Golf Tournament - guest rsvp tracking, celebrity lodging coordination, transportation for out-of-town participants, staffing the event, and other duties as assignedAssist with planning other special events as assigned.TicketingManage Executive Events team Master Calendar for stadium events and third-party events at MBS, State Farm Arena and Truist Park.Send State Farm Arena, Truist Park, and Fox Theater events quarterly to COS team for Chairman interest.Associate Ticket Program

Facilitate monthly associate surveys to gauge interest in attending events, games and concerts at MBS, State Farm Arena and Truist Park.Support Exec Events team in awarding associates with tickets to events at State Farm, Truist Park, and third-party MBS events. Once approved, communicate with associates and send parking and tickets for events.

Gifting/Merchandise CoordinationResponsible for coordinating/organizing auction and donations tracker, communicating with auction winners, and purchasing autographed merchandise for Chairman's inventory.Responsible for assembling and coordinating creative gift baskets for special recipients (friends, auctions, etc.), as needed.Assist Sr. Manager of Exec. Events with Atlanta Falcons & Atlanta United suite guest gifts and visiting NFL owner gifts ideation.Weekly suite gift distribution, shipping, and coordination to Chairman's guestsCoordinate holiday gifting for suite staff as directed by Director of Exec. Events.Coordinate the annual pistachios holiday gift from the Chairman, including label ideation, recipient list coordination & distribution, budget tracking, vendor management, etc.Qualifications and Education Requirements

3+ years of experience working in administrative support roles in complex organizational environments.High school diploma required. BA/BS preferred.Preferred Skills:
