Job Description
We are seeking a highly organized and detail-oriented Office Assistant to join our team at an industrial machine shop in Sorrento Valley area of San Diego. The ideal candidate will be responsible for performing a variety of administrative and clerical tasks to support the efficient operation of our office. This role requires excellent communication skills, a strong work ethic, and the ability to handle multiple tasks simultaneously in a fast-paced environment.
Key Responsibilities:
Administrative Support: Provide general administrative support to management and other staff members, including answering phones, managing emails, scheduling appointments, and maintaining office supplies.
Prepare various inspection reports through Inspection Xpert software.
Data Entry: Accurately enter and update data in our computer systems and databases, ensuring all information is current and correctly recorded.
Document Management: Prepare, organize, and maintain physical and digital files, including invoices, packing lists, purchase orders, and other important documents.
Inventory Management: Monitor and manage office supplies and shop inventory, including ordering supplies and tracking usage.
Qualifications:Qualifications
High school diploma or equivalent required; Associate's degree or relevant certification is a plus.
Proven experience as an office assistant, administrative assistant, or in a related role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with manufacturing ERP software (JobBoss)
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
Attention to detail and problem-solving skills.
Familiarity with office equipment, such as printers, fax machines, and copiers.
Reliable and punctual.
Professional demeanor.
Ability to handle confidential information with discretion.
The salary range for this position is $21.00-$24.00 per hour based on experience.
