Position DescriptionPerforms specialized clerical and secretarial duties in direct support of a Department Chair within the Health Science Center. Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Employees in this classification may be responsible for supervising a small clerical unit. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports.
Major/Essential FunctionsHandle appointments and scheduling for ChairmanMake travel arrangements for Chair, prepare travel/department documentsProvides administrative support for the chairman including transcription of dictation, compiling correspondence, minutes of various meetings maintaining confidential files with in the chairman's office and is the primary liaison with individuals wishing to communicate with the chairman. Prepares monthly directors logs as needed.Process Purchase Orders, Credit Card Purchases as required for the Department of IM.Helps support Department Administrator as needed and participates as a member of the IM Leadership Team.Basic Literature searches for Chair.Composition of letters, emails, memos and Power Point for Chair and Administrator.Maintains basic spreadsheet and data collection/analysis for Chair and AdministratorCoordinates and helps support recruitment efforts of the Department, including communication directly with candidates, insurance enrollment, faculty appointments, and credentialing.Coordinates activities/meetings and acts as a point-person for the Department.
Required QualificationsHigh school diploma or GED. At least twelve (12) months experience as a Senior Medical Secretary at TTUHSC; OR Five (5) years experience in a progressively responsible secretarial position with three (3) years in a medical or scientific setting.
