Job DescriptionThe Young Automotive Group is Growing Again! We are looking for an Event Director to oversee and manage all Young Automotive Group event spaces and properties pertaining to meetings and training events. The Event Director will assess and conceptualize the needs and desires for a variety of meetings, conventions, and events, and other social or business functions; supply food and other services; and supervise catering staff making all arrangements necessary to execute the Young Automotive Group’s desired vision and goals. This role will also manage contracts and payments with customers for training events and property rentals along with follow-up after the event to ensure customer satisfaction is at a 5-star level.

Responsibilities
Assess and understand needs for the events and meetings (staffing, number of guests, meeting rooms, locations, catering, signage, programs, music, display areas, and other specialized requirements)
Manage contracts for dates, times, and equipment needed
Consult and coordinate with facilitators to plan and develop event schedule, topics, and featured speakers with all necessary training materials needed
Enter all events into the event program showing all current and up-to-date event information. Manage all administrative duties and details associated with the event including distribution of promotional materials and assisting with financial operations
Ensure that events meet legal, safety, and health requirements and regulations
Coordinate transportation for guests, attendees, speakers, or other parties
Update client information in the database (i.e., address, phone number, email address, etc.)
Oversee preparation of the venue for the event
Set up and arrange tables and chairs, serving stations, lines, tableware, serve ware, and silverware, and all items needed for events, parties, and meetings at all venues
Ensure the venue is clean and that food is handled in a sanitary manner
Address problems or complaints concerning services provided
Manage and approve requests on the calendar for event spaces and adjust meetings as needed
Ensure assigned facilities and equipment are ready for regular business and special events
Maintain the inventory, storage, and distribution of equipment
Provide recommendations for purchases of new equipment and order items as needed
Collaborate with other appropriate management staff to prepare and implement the budget
Schedule and confirm events and meetings and follow up with prospective clients
Generate letters, thank you cards, and emails, etc.
Answer all incoming event and meeting calls/leads
Prepare a weekly progress report
Schedule travel for COE Team
Order all meals required for meetings
Set up meal reservations at restaurants for trainings/meetings as needed
Build a team of part-time staff that will be available for set up and take down of events held at any YAG training event space. Hire, train, manage, and schedule all needed event support staff (including ensuring that members of the catering staff interact with guests in a courteous and professional manner).
Qualifications
Excellent verbal and written communication skills
Excellent interpersonal and customer service skills
Excellent organizational skills and meticulous attention to detail
Extensive knowledge of event planning and catering requirements
Ability to work with clients to determine and anticipate needs of the event
Excellent managerial and supervisory skills
Excellent time management skills with a proven ability to meet deadlines
Creative and effective problem-solving skills
Ability to prioritize tasks and to delegate them when appropriate
Ability to respond to problems and to assist clients with a calm, courteous, and helpful manner/attitude
Thorough understanding of legal regulations and permits required for events
Proficient with Microsoft Office Suite or related software
Physical Requirements: Must be able to stand and walk for long periods of time during events/meetings as well as able to work a variety of hours to accommodate events/meetings
Must be able to lift 15 to 25 pounds at a time
Ability to remain calm under pressure and deal with unexpected situations
Ability to work early mornings, late evenings, and weekends.
