Position Summary
The HR Learning Coordinator is responsible for ensuring the efficient use of the budget and providing administrative support for the Executive Director, Centre of Excellence and the Senior Director, WW Medical Learning. The individual must have proven competencies in organization, prioritization, multi-tasking, and communication skills, as well as the ability to remain poised and focused in a fast-paced working environment.
Business Operations Responsibilities
Budget Analysis and Management: Analyze operational expenditures to ensure accurate tracking against the budget and identify areas of opportunity. Understand Learning initiatives and the rationale behind fund investments.
Stakeholder Engagement: Lead meetings with stakeholders individually and in teams to set budget priorities and direct budget execution. Review the budget and current spend, provide feedback, address areas out of budget, and identify positive and negative trends. Influence stakeholders to take necessary actions to meet budget goals while maintaining positive relationships.
Financial Reporting: Synthesize financial data from multiple sources (SAP, Ariba, RPM, Excel, and SharePoint) into slide decks and monthly scorecards for senior management, including Executive Dashboards & Portfolio reporting.
Project and Demand Management: Assist with project and demand management to measure, report, and manage demand across channels for Enterprise Learning. Drive resource allocation and identify capacity concerns.
Contract and Order Processing: Direct contract (MSA, SOW) and order (PO, SO) processing in a timely fashion to keep the business moving. Successfully prioritize the most critical items on a rolling basis.
Budget Structuring: Structure the budget in an organized and compliant fashion. Oversee the COMPASS planning processing and assisting with appropriate phasing as SOWs are executed.
Annual Budget Planning: Co-lead and execute annual budget planning, P1-P2-P3 quarterly projections in compliance with local market deadlines.
Collaboration with Finance: Collaborate with Finance and our Enterprise Learning Demand Management Lead to co-manage the P&L. Ensure the Finance team implements necessary budget changes according to business priorities.
Compass and Tableau Reporting: Assist with training/deployment, planning, and execution for both the Compass app and Tableau reporting.
Administrative Responsibilities
General Administrative Support: Provide executive-level administrative assistance to the Executive Director, Centre of Excellence. Manage correspondence, collect, research, and analyze information, draft letters and documents, proofread, and route correspondence.
Communication Management: Maintain team and subject-focused distribution lists; distribute or cascade messages.
Calendar Management: Schedule and prioritize meetings, proactively resolve meeting conflicts.
Travel & Expense Management: Follow BMS T&E policies, assist with business travel arrangements, visa applications, and reconciliation of business expense reports.
Event and Meeting Management: Plan and execute a variety of events such as leadership meetings, international video conferences, department town halls, and leadership team meetings. Ensure meeting readiness by assembling materials, testing technology, arranging catering services, and distributing pre-read materials and meeting minutes.
HR Related Support: Partner with People Services and Talent Acquisition to reconcile Workday changes, manage department headcount, and manage other HR-related situations.
Special Project Support: Collaborate with other Executive Associates within Enterprise Learning to plan and execute dedicated events or projects.
Qualifications & Experience
4-year bachelor's degree required; advanced degree preferred.
8 years of administrative or comparable experience; prior BMS and Executive Associate experience preferred.
4 - 6 years of experience with complex or HR budget management.
Solid project management skills
Strong direct expertise with SAP and RPM; Basic SharePoint knowledge; Ariba knowledge is a plus.
Experience working with multiple BMS company codes or international experience.
Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint).
Advanced MS Excel knowledge required (pivot tables, charting, formula writing, linking)
Knowledge of BMS Systems and Processes strongly preferred.
Concur Travel and T&E, Ariba/SAP, SharePoint, Workday, Room Scheduler experience strongly desired.
Demonstrates ability to prioritize, be proactive, work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time zones and during periods of heavy workload.
Exhibits a positive work attitude and high productivity.
Ability to travel 10% of time.
