Position Summary:
The Executive Financial Administrator is a key support role responsible for managing and overseeing financial and administrative functions to ensure smooth operations. This role involves working closely with senior executives to provide financial analysis, manage budgets, and coordinate administrative activities. The ideal candidate is highly organized, detail-oriented, and adept at handling confidential information.
Key Responsibilities
1. Financial Management:
Prepare and analyze financial reports, budgets, and forecasts.
Monitor expenditures and ensure compliance with financial policies.
Support the preparation of monthly, quarterly, and annual financial statements.
Assist in managing payroll, accounts payable, and accounts receivable processes.
2. Executive Support:
Coordinate and schedule meetings, travel arrangements, and events for senior executives.
Draft correspondence, presentations, and other materials as needed.
Maintain and organize sensitive financial and administrative documents.
3. Budget and Planning:
Collaborate with executives to develop and track budgets.
Provide insights and recommendations for cost optimization.
Assist in financial planning and strategic decision-making processes.
4. Compliance and Reporting:
Ensure adherence to company policies, procedures, and regulatory requirements.
Prepare and submit required financial documentation for audits and compliance purposes.
Maintain accurate records of all financial transactions and reports.
5. General Administration:
Oversee the day-to-day administrative operations of the office.
Manage vendor contracts and ensure timely payment of invoices.
Supervise or support administrative staff, if applicable.
