Description We are offering a direct-hire/permanent employment opportunity for a Part-Time Executive Assistant based in Downtown Dallas. The role revolves around providing outstanding administrative support within the industry. The workplace will be fast-paced and requires an individual who is adept at maintaining organization and effectively managing tasks. Responsibilities: Act as a facilitator and problem solver for C-level Executives Manage and coordinate scheduling of meetings, conferences, teleconferences, and travel Serve as the primary point of contact among executives, employees, clients, and other external partners Handle expenses processing using corporate expense management tools Ensure accurate processing of full-time employees' timesheets Organize and oversee meetings, including location, facilities, entertainment, accommodation, food, and gifts Attend a variety of meetings, preparing reports and taking notes as necessary Maintain and manage files in an organized and efficient manner Engage with vendors and process invoices as required Provide in-person support when necessary, especially when the Executive Chairman is onsite Handle ad-hoc assignments and errands as requested. Requirements Bachelor's degree preferred Proficiency in the use of Concur for travel and expense management Strong calendar management skills and ability to prioritize meetings and events Excellent communication skills for effective correspondence with various stakeholders Experience in coordinating corporate events, charity events, and executive meetings Knowledge of event planning and event coordination processes Ability to arrange travel, including booking travel arrangements and coordinating travel arrangements Proficiency in taking meeting minutes and maintaining records Experience in confidential secretarial tasks and maintaining confidentiality Strong computer skills, particularly in Microsoft Office Suites Experience in assisting C-Suite executives Ability to manage catering for events and meetings Experience in processing expense reports using tools such as Chromeriver Ability to coordinate meetings and manage logistics effectively.
