AssignmentDescription

This position is primarily office based and involves the administrative support up to and including clerical duties, filing of regulatory documentation, maintaining computer files and organization of the maintenance library for the maintenance management of the employers facilities.

Essential Functions Works 9/80 schedule opposite of Operations Administration. Provides general administrative support to the Maintenance group at the Facilities. Responsible for generating purchase requisitions for, vendor setup, assist with correspondence for price quotes and deliveries, and researching discrepancies for Maintenance.

Duties also include:

Processing/tracking invoices, supporting documentation and purchase orders for accuracy and receiving in SAP. Serves as the Document Control Administrator for Maintenance. Update and Create Maintenance Procedures and upload versions in Content Server. Maintains an up-to-date list of Maintenance personnel including addresses and contact information. Maintains call-out schedule for Maintenance. Administers the Maintenance and intranet home page. Reviews and verifies Maintenance Superintendent e

xpense account statements to ensure correct categorization, coding and submit for Superintendent approval.

Assist in coordinating employee events. Assist with SES entry for the terminal. Monitor supply cabinets and place office supply and break room orders. Support Technicians with completing work orders/test reports in SAP. Coordinates sends/receives and distribute all mail to appropriate parties. Coordinates courier service needs to support of departments. Maintains office areas, work orders, equipment and housekeeping of the Maintenance Building and Control Systems Building (old Re-gas Control Room).

Primary Duties and Responsibilities Assist the warehouse and procurement as needed. Enter SAP Work Notification as instructed by the maintenance team. Enter Purchase Requisitions for the maintenance team as instructed. Enter IT request for the maintenance department as needed. Assist Human Resources with company and community events as needed. Record minutes of important meetings as needed. Other duties as assigned and deemed necessary by management.

Actively participate in the HSE Management System Policies.

Ensure that HSE concerns are given priority in all activities completed within their area of responsibility.

Implement routine inspections to ensure safe operating conditions.

Working Conditions and Physical Expectations Operates in a professional office environment within or outside an industrial plant environment. Routinely use standard office equipment such as computers, phones, photocopiers w/scanner and fax, and filing cabinets. The physical demands described here are representative of those that must be met by an incumbent to successfully perform the essential functions of this job. This is primarily a sedentary role; however, the incumbent must be able to stand and/or sit continuously to perform all essential job functions for a full shift. Ability to lift up to 20 lbs. as required in order to lift files, boxes and office equipment as necessary. Ability to lift files, open filing cabinets and bending, standing on a stool, or climbing as necessary to perform these functions. While performing the duties of this role, the incumbent may be required to talk or hear.

The incumbent is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Ability to drive to other Company work locations as required. Ability to move throughout all areas of each office/site location and facilities.

Qualifications Required 5+ years related experience in an industrial office environment working directly with the community and manage ent level team members. Demonstrated professionalism. Good written and verbal communication skills. Strong interpersonal and organizational skills. Minimum Education Required: High School Diploma or GED equivalent.
