Actalent is in search of a Project Administrator who will play a crucial role in executing payroll and personnel policies while supporting the successful execution of solar energy projects. This role is responsible for managing payroll for field employees, ensuring accuracy and compliance with applicable regulations. Additionally, the position involves project coordination, scheduling, and documentation tasks to support the broader project management team.
Key Responsibilities:
Payroll Processing
Process weekly payroll for field staff, ensuring accuracy and timely completion.
Ensure compliance with wage and hour laws, tax regulations, and company policies.
Track and update employee time-off, overtime, and other payroll-related data.
Assist in resolving payroll discrepancies and addressing employee pay-related inquiries.
Onboarding & Offboarding
Manage the onboarding process for new hires, including verifying employment eligibility and collecting personal/tax information.
Coordinate site access and update permissions for staff.
Handle employee offboarding, including updating payroll and site access records when staff leave.
Maintain an up-to-date list of personnel, contact information, and relevant certifications.
Safety & Certification Management
Schedule and coordinate safety certification trainings for staff.
Document all completed safety training and certifications.
Maintain safety documentation, including equipment inspections.
Manage and document disciplinary write-ups.
Employee Management & Communication
Lead employee communication regarding schedules, holidays, worksite changes, and important announcements.
Project Support & Administrative Duties
Assist Project Managers with project scheduling, coordination, and tracking project milestones.
Coordinate office supplies, equipment, and materials for project teams.
Assist with project budget tracking and related administrative tasks.
Qualifications:
Experience:
At least 2 years of experience in project administration, construction, or a related field (preferably in renewable energy or solar).
Payroll processing experience preferred, including familiarity with platforms such as QuickBooks, ADP, ProService, Makai, SimplicityHR, etc.
Skills & Abilities:
Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with project management software (e.g., Procore, Buildertrend) is a plus.
High attention to detail, especially in tracking project timelines and payroll information.
Excellent communication skills (both written and verbal).
Ability to work independently and collaborate in a fast-paced environment.
Knowledge of the solar industry or construction processes is highly desirable.
Education:
High school diploma required.
Associate’s degree or higher in business, project management, or a related field preferred.
