Position Brief
Assist in managing an extensive portfolio of Class A office buildings, including service provider management. In addition, assistants are responsible for maintaining and developing tenant relationships, providing an elevated level of tenant customer service through a complex work order system and managing the accounting function, including budget preparation and reconciling and coding invoices related to building expenses.
Principal Responsibilities Include
Tenant Relations/Service/ Retention:
Coordinate tenant move-in / move-out schedules from beginning to endCoordinate new tenant orientationTrain and retrain tenants on the Tenant Portal work order system as neededSend tenant 1st-anniversary cards.Coordinate tenant goodwill eventsVisit tenants and schedule individual tenant lunches.Provide backup for Building Services/dispatch.Facilitate resolving tenant service requests/issues outside Building Services capabilities.Inform tenants of scheduled work in their buildingsCoordinate winter holiday decorations and tenant gifts.Aid property management team during inclement weather events onsite or remotely.Track expirations and obtain updates from the leasing team (team meetings)Administrative:
Create and maintain tenant lease files, building files, upfit files and development files.Coordinate scanning building files, projects or plans, etc., into M-Files and other scanning projects of plans, etc.Audit, collect and verify certificates of insurance from tenants and vendors.Perform quarterly AMAG audits and coordinate changes/updates from tenantsProvide AMAG reports upon tenant's request.Prepare all written correspondence to tenants, vendors, etc., for manager review/approval.Update Building Engines work order system (lease abstracts, calendars, contact information, etc.)Maintain updated One Call Now emergency tenant contact database.Maintain updated tenant contact information spreadsheetsUpdate Outlook v-cards of tenants, vendors, colleagues, etc.Update the cleanable SF spreadsheet and advise the janitorial companyUpdate building master log spreadsheet as necessary.Update tenant manual: move-in/move-out checklists as needed.Check and reply to emails and phone messages daily.Answer the manager's phone in the manager's absence or as requested.Schedule and attend internal team meetings, including agenda, minutes and follow-up.Attend property management/development meetings and report on agenda items as needed.General office duties (faxing, copying, filing, etc.)Accounting:
Sort, disseminate and code invoices for PM approvalCompile Variance notesMonitor, collect and follow up on monthly delinquenciesPrepare rental demand letters and default letters for delinquent accountsMonitor, follow- up, and collect tenant delinquencies.Update collection notes in MRI.Bill tenants for added HVAC usage.Bill tenants for added access cards.Compile budget information in preparation for creating new budgets.Maintenance/Other:
Perform building and document inspections and distribute them to the manager and engineer.Create and send work orders to the engineer / HVAC technician as needed.Send service requests and maintenance issues to vendors.Obtain vendor proposals for capital projects.Order building supplies (benches, trash cans, patio furniture, signs, etc.)Review work order reports and follow up accordingly.Schedule preventive maintenance (pressure washing, window washing, etc.)Track and coordinate capital projects to completion.Conduct vendor bids for bulk pricing (i.e., contracts and large projects)Assist in selecting vendor services, negotiating contracts and monitoring performance.Assist in special projects.Qualifications, Education and Experience Required
The candidate must primarily have a positive attitude, be a consummate team player, and be flexible and self-motivated. Candidates with a four-year bachelor's degree are preferred; one - three years of experience in commercial real estate is a plus. In addition, candidates must be competent in Microsoft Office packages, including Outlook, Word and Excel. Individuals must also demonstrate excellent organizational and time management skills as well as oral and written communication skills. Experience in database management and maintenance is also a plus. Candidates must be able to pass a drug screen and background check.
