About the Position
The Disaster Recovery Administrative Specialist position is part of ASP's Ministries Department and reports directly to the East Tennessee Regional Director. This is a full-time position based out of ASP's headquarters in Johnson City, Tennessee. Irregular or weekend hours may be required on a minimal basis throughout the year.
The Disaster Recovery Administrative Specialist position provides support and assistance to ASP's disaster recovery program, which involves home repairs, new home construction, and other various services for families and communities in need, especially those impacted by Hurricane Helene. This position is primarily responsible for: creating and maintaining excellent informational records and systems; providing service to applicants, partners, and potential clients; processing and filing applications, homeowner paperwork, and organizational and legal documents; and other administrative duties as necessarily assigned.
ASP's Disaster Recovery program encompasses regionalized home repairs, new home construction, as well as a range of disaster recovery services for families and communities in need. The program's goal is to enhance ASP's capacity and expand ASP's impact, along with that of its regional community partners, to reduce the time between a disaster and significant residential rebuilding. This will be achieved by establishing a full-time, in-person ASP presence on the ground in communities impacted by a disaster incident, in order to provide consistent, long-term home repair and replacement services, while also serving as central centers for sustained recovery as well as preparedness for future disaster incidents.
Job Responsibilities
Overall• Assist in managing, tracking, and overseeing all partner, homeowner, stakeholder, donor, and funder communications, application vetting, pre-construction requirements, financial stipulations, and any other related or programmatic tasks.• Maintain a thorough and complete knowledge and understanding of any funding requirements, grant report stipulations, timelines, and deadlines.• Abide by and ensure compliance with ASP's quality standards and governmental regulatory requirements.• Help provide and facilitate program management over a large and diverse service area, primarily in the communities of western North Carolina (and assist in the development of program parameters based on the unique needs in each community).• Ensure construction, logistical, and organizational priorities and initiatives of ASP's overall mission and disaster recovery program in Western North Carolina are carried out.• Serve as a positive role model for staff in the community, completion of tasks, and personal & professional growth.
Client Service & Case Management• Actively track and file ASP applications, as well as homeowner documentation and all related paperwork.• Respond to all requests for information or follow-up, by phone, email, or otherwise.• Compile family surveys and any other programmatic or organizational feedback.• Provide specific reports from ASP's online database of families for the office and grant funders, and any others, as needed, upon request.• Assist in document collection and communications - before, during, and after the application and construction processes.• Assist as a liaison for ASP's programs and project reporting systems.
Administrative:• Answer phones, emails, and other messages, and communicate missives and other requests to the appropriate staff persons, personnel, and departments.• Assist as a liaison for the office employees with ASP's merchandise fulfillment company.• Compile project completion reports from staff and provide reports from the disaster recovery program.• Download and format information from program evaluations.• Assist with grant compliance tasks.• Communicate relevant updates to supervisor and requisite staff regularly.• Create and maintain filing systems, both electronic and physical.• Meet assigned deadlines for all tasks and projects.• Adhere to overall departmental budget guidelines.• Prepare for and participate in ongoing evaluation processes.• Conduct data entry for volunteer and any other surveys.
Candidate Description
Required• Willingness to work in a Christian environment. ASP does not require membership in or adherence to a specific denominational theology unless the job involves spiritual leadership. - Leave:
Personal: 15 days paid annually for the first two years. 20 days paid annually after two years. 25 days paid annually after eight years.
Holidays: 10 paid holidays. Christmas break, which is counted as one holiday, begins December 26 and ends January 2.
Sick leave: 12 paid sick days per year.
Weather days:
CEO has the authority to close the office at any time due to inclement weather.
