is seeking a Administrative Assistant to join our Administration Team in our
Madison facility .
SALARY: Hiring Range for this position is from $ 41,322 to $49,960 Annually.
Offered Salary will be based on qualifications and internal pay equity. WHEDA provides a competitive salary and WHEDA employees participate in the State of Wisconsin benefit package which includes retirement, health insurance and deferred compensation programs.
POSITION OVERVIEW:
The position of Administrative Assistant is the second level of administrative support.. Incumbents are responsible for performing administrative support activities related to preparing correspondence and reports, scheduling meetings, handling travel arrangements, and processing a wide variety of documents and applications related to the area of assignment
ESSENTIAL DUTIES: Answers phones, takes messages, and/or transfers callers to appropriate staff members. Greets and directs visitors; provides general information to the general public. Performs various clerical duties, including but not limited to preparing mailings, distributing mail, faxes and other correspondence; makes photocopies; creates and maintains filing systems, adhering to record retention policies. Maintains databases, spreadsheets and/or application systems; may assist with software testing. Prepares, proofs, and edits documents, templates, labels, and forms; assists in developing and producing presentation materials. Monitors supplies, responding to requests and placing orders when needed. Schedules meetings and appointments; reserving resources; assembles or prepares meeting materials and prepares meeting rooms; coordinates applicable travel arrangements. Performs or assists with other duties as assigned. QUALIFICATIONS:
High School Diploma, or G.E.D., AND 3 years of progressively responsible office experience; OR an equivalent combination of education and experience KNOWLEDGE AND SKILLS:
Using computers and applicable software;
Preparing a variety of reports; Attention to detail, and ability to troubleshoot for process improvement Maintaining various databases; Performing basic mathematical calculations; Providing customer service; Identifying and resolving problems; Proofing and editing written correspondence Excellent verbal and written communication skills Problem solving skills and ability to work under pressure Successful prioritizing and management of work projects Maintain confidentiality as it pertains to customer information and any other information obtained in your role as a WHEDA employee Remote Work Options:
This position has a work schedule that will be 100% in-office work. Any change to this schedule will be at the discretion of the direct manager.
