What will you be doing?
As the first point of contact with office visitors and phone callers, the Administrative Assistant will perform general customer service functions.
Responsible for answering the telephones.
Greeting visitors with a friendly, professional manner, and directing them to the appropriate person to meet their needs.
Maintain front office area as to present a professional atmosphere.
Answer incoming calls from multiple phone lines. Check voice messages each morning and throughout the day and forward to the appropriate person.
Prepare outgoing mail and drop mail at post office each day. Pick up and distribute incoming mail. Accept and distribute package deliveries. Operating knowledge of the postage machine. Order postage as needed.
Monitor incoming faxes and distribute to appropriate staff.
Operating knowledge of all printer / copy / fax / scan machines. Ability to help staff trouble shoot problems.
Inventory and order office supplies.
Filing, envelop stuffing and other clerical tasks as assigned.
Prepare participant handbooks, folders and charts, mailings, survey cards, replenishment of forms and other tasks as needed.
Provide clerical and administrative support to Executive Director as assigned. This may include, but not limited to, scheduling meetings, maintaining professional calendar, scanning, copying documents and special projects.
Provide administrative support to other staff as directed. This may include, but not limited to data entry, mass mailings and other special projects.
Attend organizational, team and other meetings as scheduled.
Maintain HIPAA compliance and confidentiality at all times regarding participant and co-worker information.
Carry out the responsibilities of the position in a safe and responsible manner.
Establish and maintain productive working relationships with people inside/outside the Agency including participants, guardians, management, community partners, co-workers, and support staff.
Perform other duties as assigned.

Associate degree or equivalent or six months to one-year related experience and/or training; or equivalent combination of education and experience.
Ability to answer multi-line phone, ascertain caller needs and route calls appropriately.
Able to prioritize and multi-task in a sometimes fast paced environment.
Establish and maintain productive communication and working relationships with individuals inside/outside the Agency.
Represent the Agency’s set of core beliefs and values.
Effective written and verbal communication skills to convey and receive information (in person, on the phone, or through e-mail correspondence) and accurately document all forms of communication in appropriate locations.
Attention to detail.
Good organizational, analytical, and judgment skills to manage time, prioritize, work independently, and handle multiple tasks.
Proficiency in Microsoft Office Suite or similar software and standard office equipment.
Capable of sitting at a desk and work on a computer for prolonged periods of time, walk/move around and stand, talk, and hear and use hands to handle, control or feel objects, tools, or controls.
Lift up to 25 pounds
Use close vision and ability to focus on computer screens and documents; distance vision; peripheral vision, depth perception; color vision.
