POSITION SUMMARY:
Provides administrative support to assigned units within various divisions (Human Resources, Operations, Finance, Academics, etc.) across the District. Assists Chief administrators by providing information regarding regulations and policies; providing general support; addressing a broad variety of issues; maintaining files, databases, records of actions of personnel, evaluations, etc. Acts as a liaison with internal and external contacts within the District. Handles routine business matters in the absence of the Chief administrator.
This position reports to the assigned
Chief Administrator.
KEY RESPONSIBILITIES:
Assists in coordinating a variety of programs and policies regarding the department, students and employees (as applicable) such as: processing various requests, applications, contracts, monthly billings, payroll, etc. in compliance with District procedures and policies. Provides written references, conveys information through developed written materials such as forms, brochures, and reports as necessary.
Conducts research, and assembles and analyses data to prepare reports and documents; co-ordinates project-based work. Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner.
Participates in in-service training to keep informed of existing and changing regulations, and policies; may conduct or assist with workshops, orientation and/or in-service programs for teachers, principals, superintendents, and other school system employees in order to disseminate policy and clarify existing policies.
Assists in scheduling various meetings and employee programs and events in compliance with department needs.
All other duties, as assigned and required, in order to perform the above services.
KEY JOB REQUIREMENTS:
High School diploma or GED required. Associates degree in Business, Human Resources, Office Administration or related field preferred.
Minimum of three (3) years of secretarial experience at the executive level required.
Prior experience coordinating administrative services within a school system; makes decisions and recommendations which affect the activities of others.
Moderate independent judgment is necessary. Decisions made on an as-needed basis to establish operation of the office.
Requires regular, frequent contact with internal and external personnel of influence and decision-making responsibility to discuss issues of moderate importance; requires continuing contact with officials at higher levels. Excellent interpersonal skills are required for working with inter-schools teams.
Requires excellent written, verbal and presentation skills.
Normal office setting. May require occasional off-site visit to schools and District offices.
Light duty - On most occasions sitting at a desk or table; intermittently sitting, standing, or stooping. Light lifting or carrying twenty (20) lbs. or less.
NOTE: This is a grade 23, 225 day position that pays for experience up to a Step 4.
