Tradeshow Coordinator

We have an immediate opening for a Tradeshow Coordinator.

Hours are 8 am - 5 pm, Monday thru Friday.

The tradeshow coordinator is organized and dynamic. They will handle all tradeshow and logistics coordination for the marketing team. This role is pivotal in driving our presence at industry events and trade shows, coordinating all aspects of planning, booth design, logistics, and budgeting to ensure a successful and engaging experience for attendees. Employee may perform other related duties as required to meet the ongoing needs of the organization.

Essential Responsibilities:

Planning and Coordination:Select and evaluate trade shows to maximize brand exposure and business opportunities.Develop comprehensive plans for each show, including timelines, objectives, and resource allocation.Lead pre-show meetings with the sales team and Product Marketing Manager to align goals and responsibilities.Booth Design:

Design and coordinate the layout of the trade show booth, incorporating planograms and special product displays to create a compelling visual experience.Collaborate with internal teams and external vendors to bring the booth design to life.Logistics Management:

Organize and manage logistics for each trade show, including travel arrangements, agendas, and exhibitor badge requirements.Ensure smooth day-of-show operations, acting as the main point of contact for team members on-site.Budgeting and Timeline Management:

Oversee the trade show budget, tracking expenses to stay within financial guidelines.Develop and manage schedules, ensuring all trade show tasks are completed on time.Additional Responsibilities:

Order booth accessories, promotional items, and apparel for sales teams, and manage material handling. Coordinate the requisition of trade show graphics, signage, and marketing literature.Handle packing and unpacking of trade show materials, ensuring efficient shipment and setup.Maintain databases, files, and documentation to streamline future event planning.Essential Skills:

The qualifications listed below are representative of the knowledge, skill, and/or ability required.

Bachelor's degree in Event Planning, Marketing, Business, or a related field.Hands-on experience through internships or entry-level roles in event planning or trade show coordination.Strong organizational, budgeting, and multitasking skills.Certification, such as Certified Meeting Professional (CMP), is preferred but not required.Ability to work well under pressure and manage multiple deadlines.Excellent communication and interpersonal skills to work effectively with cross-functional teams.
