The Women's Cancer Center Practice Coordinator oversees the day-to-day leadership and operations of the practice and coordination of activities in support of the department and physicians and mid-level providers. Prepares and monitors departmental budget. Interacts with physicians, nursing management and support personnel to implement quality and safety initiatives. Prepares and analyzes departmental data. Assures necessary documentation is maintained to support physician reimbursement and compliance with various regulatory agencies.

Responsible for the day-to-day leadership and operations for Deaconess Clinic. Practice Coordinator (PC) will provide support to physicians, advanced practice providers, clinical staff, and clerical staff under the direction of the Practice Management (PM) team. Prepares and monitors departmental compliance programs. Implements and enforces quality and safety initiatives. Prepares and analyzes departmental data. Upholds Deaconess Clinic policies and procedures and evaluates employee performance.

Job Duties

Coding and Billing - Provides regular feedback to the group regarding billing and compliance issues in conjunction with the PM

Technology - Obtains EPIC super-user training in order to support clinical and clerical staffs

Physician/Staff Support

Assists the PM in scheduling of department Care Team meetings for physicians and staffsAssists the PM with recruitment effortsAssures team is informed of clinic policy/guideline changes and general informationWorks with the PM to assure the group is knowledgeable of and in compliance with HFAP, JACHO and other regulatory standards as they impact the groupAssures providers and staffs have the tools, equipment and supplies necessary to perform their jobs. Works with the PM for coordination of purchasing.Acts as timekeeper and staff schedulerMaintains provider and staff employee files

Financial Initiatives

Maintain records/logs supporting departmental expendituresIdentifies and implements cost saving/efficiency initiatives in coordination with the PM

Quality/Safety Initiatives

Works with the PM and Clinic Directors to identify and drive quality initiativesParticipates in Six Sigma or other quality training and projectsUses statistical data to monitor quality trends

Patient Initiatives

Assures patient concerns are addressed promptlyPlans and implements strategies for improving patient satisfactionMonitors patient satisfaction

Administrative Responsibilities

Accepts responsibility for overall coordination of departmental activities Assures all necessary and appropriate departmental files and correspondence are maintainedCompletes statistical data and reports as requested by the PMPrepares and maintains department documents such as clinical protocols and/or administrative policies and procedures, scope of care, etc.Provides general administrative support to the PM team

Supervisor Responsibilities

Supervises clinical and clerical staffs

What You Will Need

Associates or Bachelors degree from an accredited college or university preferredAt least six months prior experience in a patient care, customer service or leadership role required.
