As Associate Director, Congress Orchestration, you’ll manage the execution of Gilead’s Congress strategy and operations; establishing and leading Core Congress Committee’s to ensure a standardized and consistent congress planning process. You’ll report to the Global Congress Center of Excellence, as part of the Global Commercial Operations (GCO) organization.
This position is located in Foster City, CA or Parsippany, NJ
Key Responsibilities:
In this role, you’ll be responsible for leading Tier 1 Congresses, as well as ex-US Global Tier 2 Congresses: working cross functionally and with various agency partners on all aspects of congress operations:
Job Summary:
Organize and chair Core Congress Committee’s and sub-teams; ensuring clear objectives are set and are aligned with overarching Therapeutic Area strategy and vision
Craft overarching Congress approach recommendation leveraging objectives and congress offerings; ensuring an appropriate congress and investment strategy based on needs
Drive consistency of delivery of all congress activity
Create clear and consistent communication plan to ensure all stakeholders are properly informed of happenings; inclusive of Leadership updates, Pre-cons/Post-cons, All Hands Meetings, affiliates, etc.
Professional Association relations: function as contact for Association related to Congress activity (also working cross-functionally with extended team on overarching Gilead relationship with Association)
Ensure metrics are established and measured upon to aid in future decision making; elevating the Global CoE to be “best in class” and to ensure a world-leading congress experience for our customers
Lead a team of congress planners who would support Congress activity; working closely with cross-functional and agency partners to allow for a comprehensive and consistent Congress planning experience including on-site management
Manage exhibit house on booth creation; working with cross-functional teams to ensure messaging/content is aligned with objectives/congress strategy; content development to reside with asset owners
Partner closely on Key Opinion Leader (KOL) engagement process; ensuring consistent and standardized approaches are being followed
Ensure close coordination between the Global Congress COE and affiliate teams, particularly the US, Medical Affairs M&E teams, and Kite regarding planning and logistics
Ensure creation of and adherence to criteria for live congress attendance
Partner with Compliance and Legal to ensure compliance of activities and materials used at congresses and hospitality limits are clear
Onsite event management
Congress budget management; inclusive of financial reconciliation
Partner with functional leader to drive future recommendations to enhance offerings, utilizing metrics/insights to support
Basic Qualifications:
Bachelor’s degree and 12 years’ experience
OR
Master’s degree and 10 years’ experience
OR
PhD and 8 years’ experience
Preferred Qualifications:
With a bachelor’s degree, a minimum of 12 years of relevant pharmaceutical marketing experience, including prior experience leading congresses or a minimum of 10 years’ experience with an advanced degree
25% global and domestic travel
Prior regional or global experience; US experience required
Proven ability to independently lead high visibility strategic projects and translate strategies into defined resource needs, tactics, and metrics to achieve results
Excellent interpersonal and verbal and written communication skills with a demonstrated ability to independently lead high visibility strategic projects and translate strategies into defined resource needs, tactics, and metrics to achieve results
Demonstrated strong ability to lead and influence in a fast-paced, matrixed global biopharmaceutical organization, across a variety of organizational levels and disciplines with high expectations and a customer focus which drives the need for quality deliverables and performance
Experience working with senior /executive management, to clearly and concisely present strategic plans for endorsement
Strong competitive and innovative mindset and strategic and analytical skills, demonstrated by the ability to identify and interpret complex issues and provide appropriate recommendations across functional areas
Demonstrated excellence in project management and working collaboratively effectively and managing multiple priorities and projects
Proven skills in global pharmaceutical planning, including the ability to develop and implement strategic and tactical plans and budget management

The salary range for this position is: $177,905.00 - $230,230.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
