Hybrid (remote/various site locations/travel required; must reside in Colorado)
Job Summary:
The Admissions Coordinator is the main point of contact for families and clients. This role supports the administration of the entire admission process, including screening applicants by acquiring relevant information and articulating all aspects of the program and its requirements.
Education and Experience:
Bachelor's degree preferred, high school diploma or equivalent required.Minimum of two years customer service, sales and/or marketing experience.Two years experience in substance abuse or mental health field preferred.Experience with CRM system preferred.Required Skills/Abilities:
Must enjoy taking phone calls and speaking with potential clients/families.Strong relationship building skills.Ability to listen well and offer solutions.Excellent verbal and written communication skills.Ability to act with integrity, professionalism, and confidentiality.Strong collaboration skills with the ability to think creatively and share ideas.Ability to manage time effectively.Ability to make decisions using sound judgment, data, and advice.Knowledge of industry and trauma-integrated care.Willingness to be on-call evening and weekends via telephoneProficient with Microsoft Office Suite or related software.Proficiency with or the ability to quickly learn the organization's CRM system.Valid CO driver license.Duties/Responsibilities:
Maintain an in-depth knowledge of Foundry Treatment Center's mission, goals and programming.Adhere to Joint Commission and all State and Federal regulations.Knowledge of Program RTC, PHP, IOP, OP and Detox admission criteria.Coordinate private-pay and/or insurance financial arrangements for treatment including verification of benefits.Facilitate complex admissions involving multiple individuals.Facilitate timely and concise submission of all applicable admissions and referral data into the CRM.Maintain a high level of consistent communication with Admissions leadership concerning the admission strategy of any/all qualified clients.Maintain strict client confidentiality, HIPAA compliance.Assess the clinical & financial qualification of clients for appropriate admission.Coordinate verification of benefits, identification of financial guarantor and facilitate payment arrangements.Collect and/or coordinate logistics of payment collection.Internal communication with the Medical/Clinical team to ensure prospective client(s) meet appropriate admissions criteria and gain approval.Coordinate with Marketing/Outreach to expedite referrals to/from the facility.Facilitate pre-admission communications with client, family members, referents.Conduct client transports to the facility.Conduct pre-admission assessments and biopsychosocial assessments.Respond to all telephone inquiries regarding admission made to the facility within 30 minutes of a missed call.Ensure admissions to the facility occur in a timely and seamless manner.Ensure client, family, and referent satisfaction with the Admissions process.Assist with Alumni communication, and in the collection of post-treatment program outcomes data.Some travel may be required.Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.Ability to communicate via phone.Must be able to lift 15 pounds at times.Driving in all weather conditions.
