Administrative Specialist , you’ll play a crucial role in supporting our housing and stabilization programs by ensuring accurate data management, efficient administrative processes, and timely communication with our teams and partners.Key Responsibilities:Data Management:
Ensure accurate and timely entry into the State of Massachusetts’ Efforts to Outcomes (ETO) database and EMPath’s internal Apricot system. Conduct data quality audits and collaborate with the Data Manager to maintain data integrity.Administrative Support:
Assist program mentors by managing case files, organizing intake documents, and preparing materials for participants. Handle record transfers and archiving in compliance with organizational policies.Communication:
Send weekly data reminders, compile reports, and serve as a liaison during EOHLC meetings. Maintain and update electronic and physical records to support program efficiency.Operational Support:
Order supplies, manage specialized grants, and provide back-up support for invoice processing, staff reimbursements, and front desk coverage at Hastings House.What You Bring:Education & Experience:
High school diploma required; Bachelor’s degree preferred. 1-2 years in a data entry or administrative assistant role is a plus.Technical Skills:
Proficiency in Microsoft Office and familiarity with database systems like Access, ETO and Apricot is advantageous.Attention to Detail:
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.Interpersonal Skills:
Excellent communication and relationship-building abilities to work with a diverse team and clientele.Confidentiality:
